What goes wrong, and what we do about it
A title file has a fixed closing date and many people who each hold one piece of it: the agents, the lender, the buyer, the seller, an attorney, a payoff department that answers when it likes. The work is a chain of requests — the contract, the payoff letter, the survey, the lender's package — and the closing happens only when every link arrives. Orders come from the same agents and lenders again and again, and the next one goes to whoever kept them informed on the last.
The problem
The closing is next week, and the payoff letter was requested once and never chased.
In Kompot.ai
Each order is a project with a task for every item: contract, payoff, survey, lender package, commitment sent. Tasks have an assignee and a due date, and overdue ones show per closer, so a silent payoff department is noticed in time.
The problem
Agents and the lender call all day to ask where the file stands.
In Kompot.ai
The order moves through stages you define: opened, search, commitment issued, clear to close, closed, recorded. A workflow messages the agents and the lender when the stage changes, so they no longer need to call.
The problem
Buyer and seller information sheets come back half filled in and unsigned.
In Kompot.ai
Send the information forms and authorizations from templates with the names and the property address merged in. Each party signs on a phone by link, several signers on one document, with the audit trail and the PDF kept on the file.
The problem
The signing is rescheduled again and again because every party's calendar has to agree.
In Kompot.ai
Closings sit on a shared calendar synced with Google Calendar, with the closer and the room on the event. A party who books on your booking page gets an email confirmation with a calendar invitation and reminders before the signing.
The problem
You cannot say which agents and loan officers sent orders this quarter and which stopped.
In Kompot.ai
Every agent, loan officer and attorney is a contact, and each order names who opened it. A segment of referral partners gets your email update, and for the ones who went quiet your sales rep gets a task to stop by.
How one order runs
From an opened order to a recorded closing
The order is opened
An agent or a lender emails the contract or calls it in. You create the opportunity with the property address and the closing date and add every party as a contact.
Search and curative
The project lists what must arrive: search, payoffs, survey, lender instructions. Each curative item is a task with a closer assigned and a date before closing.
The closing is scheduled
The signing appointment goes on the calendar, and each party gets a confirmation and a reminder. Information forms are e-signed before anyone sits down at the table.
Closed, recorded, invoiced
The opportunity moves to closed and then recorded. Fees you bill outside the settlement statement go out as an invoice with a payment link, and the file's history stays on each party's record.
What you keep on record
- Order details
- Property address, sale or refinance, closing date and lender, kept on the opportunity and in its notes.
- Parties to the file
- Buyer, seller, both agents, loan officer and attorneys as contacts, each with their role and preferred channel.
- Curative items
- A task per payoff, lien release, survey or missing signature, with the closer responsible and the due date.
- Signed forms
- Information sheets and authorizations with their signers, audit trail and PDF, stored on the party's record.

Where an AI employee steps in for Title Companies
The moment
A real estate agent calls after hours to open an order on a contract signed that evening.
The voice agent answers, takes the property address, the parties' names, the lender and the closing date, and saves the transcript and summary. A workflow creates a task for the order desk to open the file first thing.
The moment
A buyer messages asking what to bring to the closing and how long it takes.
The AI employee answers from your knowledge-base article on closing day — ID, how funds are accepted, who must attend — and confirms the appointment time from their record. It never sends wire instructions; those questions go to the closer.
The moment
A seller asks in the website chat whether the payoff on their mortgage has been ordered.
The AI employee looks up the tasks on their file and tells them whether the payoff request is open or done, as your closer recorded it. Anything about amounts or liens is handed to the closer along with the conversation.
Questions owners ask
- Does Kompot.ai replace our title production software?
- No. It does not prepare commitments, settlement statements or policies, and it does not hold escrow funds. It runs alongside: parties and their conversations, tasks per order, closing appointments, e-signed forms and your referral relationships.
- Can closing documents be signed electronically in it?
- Documents that need no notary — information sheets, authorizations, engagement letters — are signed by link, with several signers and an audit trail. Kompot.ai does not notarize: the closing package is signed the way your office does it today.
- How do we keep agents and lenders updated without phone calls?
- Set a workflow on the order's stage: when the file moves to commitment issued or clear to close, each party gets the email or text you wrote for that stage. Their replies land in the same conversation log.
- Can we see which referral sources send us the most orders?
- Each order is an opportunity tied to the agent or loan officer who opened it, so their page shows every file they sent and its stage. Segments group partners for an email update, and tasks remind your rep about the ones who went quiet.
