What goes wrong, and what we do about it
Property management is hundreds of small promises: a faucet that started leaking on Friday night, a lease that ends next month, an owner asking why the unit is still vacant. Each one is minor until it is missed. When requests arrive by text, voicemail and email and lease dates sit in a spreadsheet, the tenant waits, the renewal slides to month-to-month and the owner hears about it last.
The problem
A tenant texts about a leaking water heater and the message sits in one manager's phone.
In Kompot.ai
Texts, calls, WhatsApp and email land in one conversation log on the tenant's record. You turn the request into a job with the unit address, the tenant's photos and a time window, assign your maintenance tech and note the plumber you called.
The problem
A lease expires, nobody offered a renewal, and the tenant goes month-to-month or moves out.
In Kompot.ai
The lease end date is a field on the tenant. A scheduled workflow creates a renewal task ahead of time and messages the tenant, and the renewal addendum goes out for e-signature to every leaseholder.
The problem
At move-out there is an argument about the deposit and no record of the unit's condition.
In Kompot.ai
Move-in and move-out inspections are jobs with photos and notes attached, kept on the tenant's record next to the signed lease. When the deposit is questioned, you open both inspections.
The problem
An owner calls asking what was done about the roof, and you dig through old emails to answer.
In Kompot.ai
Each owner is a contact with their properties in custom fields, and a project per property groups its jobs and invoices. Share the project by link and the owner reads the tasks and comments instead of calling.
The problem
A vacant unit draws a pile of inquiries, and half of them never get a showing time.
In Kompot.ai
Every inquiry becomes a contact and an opportunity that moves through inquiry, showing, application, lease signed. The prospect picks a showing slot on your online booking page, and it lands on the shared calendar.
How one order runs
From a maintenance request to a closed work order
The tenant reports it
A text, a call or a chat message lands on the tenant's record. After hours the request is still logged, with the unit and the problem in the tenant's own words.
A work order is created
You open a job with the type of repair, the unit address, the tenant's photos and a time window, and assign your tech. The office sees it on the board among the other open repairs.
The repair is done
The tech opens the job on a phone, adds photos of the finished work and a note on the parts replaced, and moves it to done. A workflow messages the tenant that it is closed.
The owner is billed
If the repair is charged to the owner, the invoice goes out with a payment link, and the vendor's receipt is saved as an expense by photographing it.

Where an AI employee steps in for Property Management Companies
The moment
A tenant calls late at night about water coming through the ceiling.
The voice agent answers, takes the unit and what is happening, and transfers the call to your on-call manager because your instructions treat water as an emergency. The transcript and summary are saved on the tenant's record.
The moment
A tenant asks in Telegram whether anyone is coming to fix the dishwasher.
The AI employee finds the open work order, tells the tenant its stage and time window, and creates a task for the manager if the tenant says nobody showed up.
The moment
A prospect messages about a vacant apartment: is it pet friendly and when can they see it?
The AI employee answers from the knowledge-base article for that building, saves the prospect as a contact with move-in date and household details, opens an opportunity and sends the link to book a showing.
Questions owners ask
- Can tenants pay rent online through Kompot.ai?
- You can send rent as a monthly subscription invoice with a payment link, paid by card through Stripe or PayPal. A part payment recorded by your staff shows on the invoice, and overdue invoices are flagged. It is not a rent ledger: owner funds and statements stay in your accounting.
- How do maintenance techs and outside vendors see their work orders?
- Your techs sign in from a phone's browser, see the jobs assigned to them with address, photos and time window, and update the stage. For an outside vendor you send the details by message or email.
- Can a lease be signed by several tenants and the owner?
- Yes. The lease is a template with merge fields for names, unit, dates and rent. You add each signer, send it by email, link or QR code, and every signature is recorded in the audit trail. The signed lease exports to PDF.
- We manage for many owners. How does each one see only their own property?
- Share the project for an owner's property by link. The owner sees the tasks and progress notes for that property only and can leave a comment. Inside your team, a role sets which sections a person can open, so a tech can be kept out of invoices and reports.
