What goes wrong, and what we do about it

Real estate runs in long stretches of waiting broken by days when everything is urgent. A buyer who inquired in winter is ready in spring; a seller you met at an open house calls a year later. Then an accepted offer starts a clock of inspection, appraisal and financing dates. When leads sit in your texts and deadlines in your head, the quiet clients get forgotten and the urgent dates slip.

  • The problem

A sign call or a portal inquiry gets a reply hours later, after the buyer has phoned another agent.

    In Kompot.ai

Calls, texts, WhatsApp and website chat land in one conversation log, and an unknown number becomes a new contact. A workflow creates a call-back task for the agent on duty and notifies them the moment the contact appears.

  • The problem

You cannot remember which homes a buyer has already seen and what they said about each one.

    In Kompot.ai

Showings go on the shared calendar, and your note after each house stays on the buyer's record. Price range, neighborhoods and must-haves sit in custom fields, so you open the contact before suggesting the next listing.

  • The problem

Under contract, the inspection, appraisal and financing dates live on a sticky note.

    In Kompot.ai

Open a project for the transaction with a task for each contingency date. Overdue tasks show per person, a workflow messages the client before a deadline, and the buyer can follow the list by link.

  • The problem

A listing agreement waits days for a signature because the sellers live in different cities.

    In Kompot.ai

Send the agreement from a template with the sellers' names and the property address filled in by merge fields. Both owners sign from their phones by link, and you keep the audit trail and the PDF.

  • The problem

Past clients hear from you at closing and never again, so the referral goes to someone else.

    In Kompot.ai

Keep the closing date on the contact. A scheduled workflow creates a task to call on the home anniversary, and an email campaign takes your neighborhood market update to the segment of past buyers and sellers.

How one order runs

From a first inquiry to the closing table

  1. The lead comes in

A call from a yard sign, a chat on your site or a text lands in the conversation log and creates a contact. You save the budget, the area and the timing in fields.

  2. Showings and the offer

The opportunity moves across your pipeline board from new lead to showings to offer. Showings sit on the calendar, and what the buyer said about each house is in your notes.

  3. Under contract

A project holds the tasks for inspection, appraisal and financing dates. Addenda go out for e-signature, and the client sees what is left before closing.

  4. Closing and after

You move the opportunity to closed. A flat fee or a retainer, if you charge one, goes out as an invoice with a payment link, and the closing date stays on the contact for the anniversary call.

What you keep on record

Where an AI employee steps in for Real Estate Agents

  • The moment

A buyer calls the number on a yard sign on Sunday evening while you are at another showing.

The voice agent answers, asks which house they are calling about, whether they already work with an agent and when they want to see it. The transcript and summary are saved, and a workflow creates a call-back task for you.

  • The moment

A website visitor asks in the chat what their home might sell for.

The AI employee does not guess a price. It asks for the address, the timing and the reason for the move, saves them on a new contact, opens a seller opportunity and says you will call to arrange a walkthrough.

  • The moment

A client under contract asks on WhatsApp what happens after the inspection.

The AI employee answers from your knowledge-base article on the steps to closing, checks the open tasks in their project, and hands the conversation to you when the question turns to negotiating repairs.

How digital employees work

Questions owners ask

Does Kompot.ai connect to the MLS or pull in listings?
No. There is no MLS integration and listings are not imported. You keep the property address, price and status on the contact or the opportunity, and use the system for leads, showings, deadlines, documents and conversations.
Can I set my own stages for buyers and for listings?
Yes. You define the pipeline stages — new lead, showings, offer, under contract, closed — and view opportunities as a board or a table. A custom field on the contact marks whether the client is buying, selling or both.
Can clients sign listing and buyer agreements electronically?
Yes. Set up your agreement as a template with merge fields, send it by email, link or QR code and add every signer. Each signature is logged in the audit trail and the signed copy exports to PDF. Check which forms your brokerage requires first.
Will it work for a small team that shares incoming leads?
Yes. Roles and permissions set which sections each agent can open, such as contacts, documents or reports. A workflow creates a call-back task for a new inquiry and notifies the agent, and the overdue-task view shows whose follow-ups are late.
