What goes wrong, and what we do about it

A design project stalls in the gaps between phases. The concept is presented and the client goes quiet; a fabric is approved in a text nobody can find; the sofa is on order with a long lead time, the rug is backordered and the installer is booked for a day that no longer works. A studio with several projects open carries a great many open decisions at once, and most of them live in someone's inbox.

  • The problem

The client approved the tile in a text message and now says they never did.

    In Kompot.ai

Selections go to the client as an estimate with each item on its own line. You see when it was viewed and approved, and that approval stays on the client's record along with every message about it — text, WhatsApp or email.

  • The problem

A sofa is on order, a rug is backordered, and nobody knows what arrives when.

    In Kompot.ai

Each order is a task in the project with the vendor, the expected ship date as its due date and the order confirmation attached. Overdue tasks show which deliveries slipped while the install date can still be moved.

  • The problem

The concept was presented weeks ago and the client still has not answered.

    In Kompot.ai

A project shared by link shows the client what is waiting on their decision and lets them comment. When an approval sits unanswered, a workflow creates a follow-up task, so the phase does not drift.

  • The problem

Design fees are billed late because a phase ends without anyone marking it.

    In Kompot.ai

Bill each phase — retainer, concept, design development, procurement — as its own invoice with a payment link. Partial payments are recorded, and an unpaid retainer is flagged as overdue before you start drawing.

  • The problem

A new inquiry asks for a quick call, and agreeing on a time takes days of messages.

    In Kompot.ai

The online booking page lets the prospect pick a discovery call slot from your calendar. You save their home, the scope and the budget range on the contact and open an opportunity in your pipeline.

How one order runs

From a discovery call to install day

  1. Discovery call

The prospect books a call on your booking page. You note the rooms, the scope, the budget range and the move-in date on the contact and open an opportunity.

  2. Agreement and retainer

The design agreement goes out for e-signature and the retainer invoice with a payment link. Once both are done, you open a project with a task list for each phase.

  3. Concept and selections

Presentations sit on the calendar, and selections of furnishings and finishes go out as estimates the client approves online. Approved estimates convert into procurement invoices.

  4. Procurement and install

Orders are tasks with ship dates; the install is a job with the address, the crew and a time window. The final invoice goes out when the punch list is closed.

Where an AI employee steps in for Interior Designers

  • The moment

A prospect writes in the website chat: do you take single-room projects, and where do budgets start?

The AI employee answers from your knowledge-base article on the projects you take, asks about the room, the timeline and the budget range, saves the answers on a new contact and sends the link to book a discovery call.

  • The moment

A client messages late in the evening asking whether the dining chairs have shipped.

The AI employee looks up the order task in their project, tells them the expected ship date you recorded, and creates a task for your procurement lead if that date has already passed.

  • The moment

A workroom calls about a fabric shortage while the whole studio is at an install.

The voice agent answers, takes which order it is and what the workroom needs decided, and saves the transcript and summary. A workflow notifies the designer on that project to call back.

How digital employees work

Questions owners ask

How do clients approve selections?
You send the selections as an estimate. The client opens it and approves or rejects it, and you see the status and the date on their record. For the bigger picture, share the project by link so they can follow the tasks and comment.
Does it handle procurement and purchase orders?
It tracks them as work, not as stock. Each order is a task with a vendor, a due date and the confirmation attached, and vendor bills are logged as expenses by photographing the receipt. It does not place orders with vendors for you.
Can I bill a retainer first and the rest by phase?
Yes. Send a retainer invoice with a payment link, then one invoice per phase. Partial payments are recorded against the invoice, and an ongoing monthly design retainer can be set up as a subscription invoice.
Our contractor and installer need to see the schedule. Can they?
Add them as users with a role that limits what they can open, or keep them as contacts and send the install job details by message. Install days and site meetings sit on a shared calendar that syncs with Google Calendar.
