What goes wrong, and what we do about it

Self-storage is a business of phone calls and month-ends. Someone moving this weekend calls every facility nearby, asks for a size and a price, and rents from whoever answers. After move-in the tenant goes silent for months, and the only contact is the rent — paid, late, or not at all. Summer brings students and movers all at once; the rest of the year you chase late payers and refill the units they leave.

  • The problem

A caller asks about a climate-controlled unit after the office has closed, and rents elsewhere by morning.

    In Kompot.ai

With telephony connected, every call is saved on the contact and a missed one is visible the next morning. An unknown number becomes a new contact, and a workflow creates a call-back task for the manager who opens the office.

  • The problem

Move-in means a paper agreement, a photocopied ID and a line at the counter.

    In Kompot.ai

The rental agreement is a template with the tenant's name, the unit number and the monthly rate merged in. The tenant signs on a phone by link or QR code at the counter, and the signed PDF sits on their record with a photo of the ID.

  • The problem

Rent is due at the start of the month and reminders go out only when someone remembers.

    In Kompot.ai

Each tenant's rent is a subscription invoice billed monthly with a card payment link. The invoice goes out on schedule with nobody at the desk, and the payment is recorded against it.

  • The problem

Late payers are tracked on a sheet taped by the desk, and notices go out unevenly.

    In Kompot.ai

Overdue invoices are flagged. A workflow sends a reminder message, then creates a task for the manager to call and to send the late notice from a document template. Every step is dated on the tenant's record.

  • The problem

A unit is reserved over the phone and the customer never shows up to move in.

    In Kompot.ai

Each inquiry is an opportunity with stages: inquiry, reserved, moved in. The day before move-in the customer gets a reminder message, and if they do not arrive the manager gets a task to call and decide whether to keep holding the unit.

How one order runs

From a unit inquiry to the first paid month

  1. The inquiry

A call, a web chat or a text asks for a size and a price. A contact is created, and you note the unit size, the move-in date and what they plan to store.

  2. Reservation

The opportunity moves to reserved with a unit number held for the customer. A workflow sends a confirmation with office hours and what to bring on move-in day.

  3. Move-in day

The rental agreement is signed by link or QR code at the counter. The unit number, the gate code and the move-in date go into fields on the tenant.

  4. Monthly rent

A subscription invoice bills the rent every month with a payment link. Paid months are recorded, late ones are flagged, and the reminder workflow starts.

Where an AI employee steps in for Self-Storage Facilities

  • The moment

A caller on Saturday evening asks what a unit big enough for a one-bedroom apartment costs.

The voice agent answers from your instructions: which sizes fit, the monthly rates you gave it, office and gate hours. It takes the caller's name and move-in date, and a workflow creates a task so the manager calls back to reserve the unit.

  • The moment

A tenant texts asking why the gate code stopped working.

The AI employee looks up their record, sees the overdue invoice, explains under your late-payment policy that access returns after payment, and sends the payment link. If the tenant disputes the charge, the manager takes over the conversation.

  • The moment

A tenant writes on WhatsApp that they are moving out at the end of the month.

The AI employee repeats your notice rules from the knowledge base and creates a task for the manager with the move-out date: stop the monthly invoice and check the unit.

How digital employees work

Questions owners ask

Does Kompot.ai show which units are vacant?
There is no facility map or unit grid. The unit number is a field on the tenant, and reservations and move-ins show as stages on the opportunity board. Small facilities keep the list of open units in an internal knowledge-base article.
Can tenants pay the rent every month without coming to the office?
Yes. A subscription invoice is issued every month and sent with a payment link, and the tenant pays by card through Stripe or PayPal. Paid, partly paid and overdue months are all on their record.
Does it control the gate or the locks on units?
No. Kompot.ai does not connect to gate or lock hardware. It shows who is overdue, sends the reminders and creates the task; your manager places and removes the overlock.
Can a tenant sign the rental agreement before coming to the office?
Yes. Send the agreement by email or link; the tenant signs on a phone at home and you see it in the audit trail. On move-in day all that is left is handing over the gate code and showing the unit.
