What goes wrong, and what we do about it
A commercial deal is slow and then sudden. A tenant's lease runs for years, so today's call is only an introduction; the real conversation starts when they begin to look, and the broker who stayed in touch gets the assignment. Between the first tour and a signed lease sit an LOI, rounds of landlord comments, attorneys and a board that meets when it meets. Lose the thread halfway and the deal goes to someone else.
The problem
A tenant's lease expiration sits in a spreadsheet nobody opens until the tenant has already renewed.
In Kompot.ai
Keep the lease expiration date, the square footage and the current building as custom fields on the tenant. A scheduled workflow creates a call task well ahead of expiry for the broker who holds the relationship.
The problem
A requirement came in months ago and you cannot recall what the tenant said about parking and ceiling height.
In Kompot.ai
Calls through your connected number are recorded and transcribed on the contact, next to emails and meeting notes. Size, use, submarket and move-in date sit in fields, so the requirement reads the same whoever opens it.
The problem
The LOI went to the landlord's side and the deal has sat in waiting ever since.
In Kompot.ai
The opportunity moves through stages you define — requirement, tours, LOI, lease negotiation, signed. The board shows the deals that have not moved, and a dated task on each one says who chases whom next.
The problem
An investor wants the rent roll, and you need a signed confidentiality agreement first.
In Kompot.ai
Send the NDA from a template with the property name and the buyer's entity merged in. Several signers sign by link, the audit trail records each one, and you release the offering package once the PDF is on the contact.
The problem
A suite is toured by several prospects and nobody remembers who saw it and what they objected to.
In Kompot.ai
Tours go on the shared calendar, synced with Google Calendar, and the note after each tour stays on the prospect's record. Before you report to the landlord you read those notes instead of reconstructing them.
How one order runs
From a space requirement to a signed lease
The requirement
A tenant calls or writes about space. You record size, use, submarket, budget and timing on the contact and open an opportunity at the requirement stage.
Survey and tours
The survey of buildings is a file on the opportunity, and tours are calendar events with the tenant's decision makers. Your notes on each building stay on the record.
LOI and negotiation
The opportunity moves to LOI. Each round of comments is a task with an owner and a date, and every email with the landlord's broker is in the conversation log.
Lease signed, fee invoiced
At signing the opportunity closes. Your commission invoice goes to the landlord, and partial payments are recorded when the fee is split between signing and occupancy.
What you keep on record
- Tenant requirements
- Square footage, use, submarket, budget, move-in date and decision makers as custom fields on the tenant.
- Lease expirations
- Current building, lease end date and renewal option notice date on the contact, driving the scheduled reminders.
- Deal documents
- LOIs, NDAs and commission agreements as documents with signers and an audit trail; surveys and proposals as files.
- Owners and listings
- Each landlord with their buildings, available suites and asking terms in fields and notes on the contact.

Where an AI employee steps in for Commercial Real Estate Brokers
The moment
A business owner calls after hours about the sign on a vacant retail bay.
The voice agent answers, asks what kind of business it is, how much space they need and by when, and saves the transcript and summary. A workflow notifies the listing broker and creates a task to call back the next morning.
The moment
A prospect asks in the website chat for the offering memorandum on a listed building.
The AI employee explains that a confidentiality agreement comes first, takes the name, company and email, creates the contact and an opportunity, and creates a task for the broker to send the NDA.
The moment
A tenant you toured with asks on WhatsApp whether the landlord has answered the LOI.
The AI employee looks up the open task on their deal and tells them where it stands, as you recorded it. It does not discuss terms: anything about rent or concessions is handed to the broker.
Questions owners ask
- Is it built for deals that take a year or longer?
- Yes. An opportunity stays in its stage as long as the deal needs, with dated tasks, notes and the whole conversation history behind it. A deal picked up after a quiet season reads from the start, even for a broker who joined later.
- Does it pull listings or comps from the MLS or listing services?
- No. There is no MLS or listing-service connection and no comps database. You keep buildings, suites and asking terms on contacts and opportunities, and use the system for relationships, deal stages, documents and follow-up.
- Can I keep landlords, tenants and the people at each company?
- Yes. Contacts hold customers, partners and suppliers with any custom fields you add: role, company, building, who decides. Each person's calls, emails and meetings stay in their own history.
- Can I import my tenant list with lease expiration dates?
- Yes. Contacts import from CSV or Excel together with your custom fields, including lease end dates. On the Business plan we migrate the data for you.
