How to create a contract from a template, send it to a customer and collect an electronic signature

The Sign section holds contracts and other documents that need a signature: acts, NDAs, addendums. A document is created from a template, filled with the contact's details and sent for signing.

The section is switched on in Settings → Modules & Entities.

Document list

The table shows the document type, its status and the contact. Statuses:

Creating a document

  1. Click Create Sign.
  2. Choose a template or start from a blank document.
  3. Choose a contact — their details are placed into the text.
  4. Check the text and save.

Templates

A template is a document with placeholders (customer name, address, amount). Templates are on the Templates tab. Create one for every kind of document the company uses regularly.

Sending for signature

Three delivery options:

  • Email — the link goes to the customer's email;
  • Link — copy the link and send it in any messenger;
  • QR code — the customer scans the code and signs on their phone, handy when you meet in person.

A document can be protected with a password. The link has an expiry date. With several signers, each one gets their own link.

Declining and voiding

A signer can decline and give a reason. The company can void a document: every issued link stops working.

Audit trail and export

Each document keeps a log: when it was opened, when it was signed and by whom. The document can be exported to PDF at any time with the signatures collected so far.
