CRM for Tanning Salons

UV beds, stand-up booths and spray tans in one system — with each client's skin type, last session length and signed consent in front of whoever is at the desk.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A tanning salon is a front desk, a row of beds and a stream of short visits, most of them without an appointment. The year is lopsided: late winter and spring are packed before vacations, proms and weddings, and summer empties the lobby. Consent slips and skin type forms sit in a binder, minutes are counted in a notebook, and nobody remembers when the lamps in the stand-up booth were last changed.

  • The problem

A new attendant cannot find the client's skin type form or how long her last session was.

    In Kompot.ai

Skin type, the bed she uses and the length of her last session are custom fields on the contact, updated at each visit. The consent form is a document she signed by QR code at the desk, stored as a PDF on the same card, not in a binder.

  • The problem

A client insists she has more minutes left on her package than the notebook says.

    In Kompot.ai

The package is sold as an invoice, and the minutes left are a field on the contact that the attendant updates after each session, with a dated note. When there is a dispute, the contact page shows every visit and every payment in order.

  • The problem

Monthly members stop paying, and the desk finds out when they come in to tan.

    In Kompot.ai

Bill the monthly plan as a subscription invoice with a payment link. Payment is recorded against each invoice, and an unpaid one is flagged as overdue, so the attendant sees it on the contact before she hands over the goggles.

  • The problem

Nobody remembers when the lamps in a bed were changed, and clients say the tan got weaker.

    In Kompot.ai

Log each lamp change as a job: which bed, the date, who did it, the supplier's paperwork attached. A scheduled workflow creates a task to check the lamp hours on every bed, so a relamp is planned before the spring rush, not during it.

  • The problem

A bride arrives for her spray tan freshly shaved and wearing lotion, and the result comes out patchy.

    In Kompot.ai

Spray tans are booked through the online booking page or the calendar. A workflow sends your prep rules by message ahead of the visit — exfoliate the day before, no lotion or deodorant, loose dark clothes — and her questions come back into the same conversation.

How one order runs

From a first session to a renewed package

  1. She walks in or books

A walk-in gives her name and number at the desk and becomes a contact. A spray tan client picks a slot on the booking page, and it shows on the shared calendar.

  2. Skin type and consent

The attendant records her skin type in the contact's fields. She opens the consent form by QR code, signs it on her own phone, and the PDF is saved on her card.

  3. The session is logged

After the session the attendant notes the bed and the minutes and updates the field with what is left on the package. Next time anyone at the desk sees where she stopped.

  4. Package or membership paid

A minute package goes out as an invoice with a payment link; a monthly plan runs as a subscription invoice. Before the busy season an email campaign invites her back.

Where an AI employee steps in for Tanning Salons

  • The moment

Someone calls on a Saturday morning to ask whether you are open and what a single session costs.

The voice agent answers with your hours, bed types and prices as written in your instructions, and transfers the call to the desk if the caller wants to speak to a person. The recording and summary are saved on a contact.

  • The moment

A bride asks in Facebook Messenger when to get her spray tan before the wedding and how to prepare.

The AI employee replies with your prep guide from the knowledge base, suggests a trial session ahead of the date as your instructions say, creates a contact with the wedding date and sends the link to the booking page.

  • The moment

A regular asks on Telegram how many minutes are left on her package.

The AI employee looks up the field on her contact and tells her the number. If she says the figure is wrong, it does not argue: it creates a task for the manager with her message, and the visit notes are there to check.

How digital employees work

Questions owners ask

Can I bill monthly tanning memberships automatically?
Yes. Each member gets a subscription invoice on a monthly cycle, sent with a payment link. Whoever is at the desk opens the member's contact and sees whether this month is paid or flagged as overdue before a bed is assigned.
How do I keep track of minute packages?
Sell the package as an invoice and keep the minutes left in a custom field on the contact. The attendant updates the field after each session and adds a note with the bed and the minutes, so the history is there if a client questions it.
Can clients sign the consent form at the front desk without paper?
Yes. Print the QR code of your consent template and stand it on the counter. A first-time client scans it and signs on her own phone while the bed is being wiped down. A parent can be added as a second signer, and the PDF goes on the contact.
Can I plan lamp changes and bed maintenance in the same system?
Yes. Create a job for each lamp change or repair, with the bed, the assignee and the date, and attach the paperwork. A scheduled workflow can create a recurring task to check lamp hours before the busy season.
