What goes wrong, and what we do about it

A nail salon lives on a short cycle: a set grows out in a few weeks, and the client either comes back for a fill or goes wherever a table was free. The work is booked by the hour, so one visit that turns out to be a removal plus extensions plus art pushes the whole day back. Reference photos arrive in chats, allergies are remembered by one technician, and chipped-nail complaints come with no record of who did the set.

  • The problem

A client books a manicure and arrives with another salon's gel to soak off, wanting extensions and art.

    In Kompot.ai

A saved reply asks every new booking the same things: is there old product to remove, extensions or natural length, plain color or a design. The answers stay in her conversation log, and the visit goes on the calendar with enough time for the real work.

  • The problem

Her set has grown out, she did not rebook, and she takes the first free table at another salon.

    In Kompot.ai

Keep the date of the last set or fill as a field on the contact. When the fill is due, a scheduled workflow sends her a message with the link to the booking page, so she picks a slot with her own technician before the regrowth sends her elsewhere.

  • The problem

A client sends a photo of a lifted nail, and nobody can tell who did the set or with which base.

    In Kompot.ai

The photo arrives in her conversation log, next to the note from that visit: technician, base, gel and shade used. A task goes to the same technician to fit in a repair, and your repair terms sit in a saved reply instead of being argued over in chat.

  • The problem

The reference photo went to the front desk's chat, and the technician first sees it when the client sits down.

    In Kompot.ai

Every picture a client sends through WhatsApp, Telegram or website chat is kept on her contact. The technician opens the card from her phone the evening before, sees the design and how complex it is, and knows which gels and foils to have at the table.

  • The problem

One technician knows the client reacts to a certain base coat; the one covering for her does not.

    In Kompot.ai

Sensitivities and the products that suit her are custom fields on the contact, not somebody's memory. Whoever takes the visit reads them on the card, together with her shape, length and the notes from the last set.

How one order runs

From a reference photo to a paid set and the next fill

  1. The request with a photo

She sends a design she saw online and asks for a time. The message and the picture are saved on her contact, and a saved reply asks about removal, length and shape.

  2. A slot that fits the work

The visit goes on the shared calendar with time for the removal, the set and the art, or she picks a free slot on the booking page, and the page sends her an email confirmation and reminders ahead of the appointment.

  3. At the table

The technician opens the card, checks sensitivities and last shades, and does the set. Afterwards she notes the base, the gel and the shade names and adds a photo of the finished nails.

  4. Payment and the fill date

Removal, set and art per nail come from the price list onto an invoice with a payment link. The date of the set is saved, and it starts the reminder for her next fill.

What you keep on record

Designs and photos
Reference pictures she sent and photos of finished sets, kept as files and in the conversation log on her contact.
Price list
Removal, fills, full sets, extensions, repairs and nail art tiers as items that go straight into an invoice.

Where an AI employee steps in for Nail Salons

  • The moment

A client sends a photo of a broken nail the evening before she flies on vacation.

The AI employee finds her contact and the date of her last set, replies with your repair terms from the knowledge base and creates a task for her technician to find a gap in the morning. If no technician is named on the card, it passes the chat to the front desk.

  • The moment

A new client asks in the website chat how much almond extensions with a French finish cost.

The AI employee answers from the price list in your knowledge base, asks whether there is old gel to remove and what length she wants, saves the answers on a new contact and sends the link to the booking page.

  • The moment

A regular messages on Telegram asking to move her fill because her child is sick.

The AI employee replies that the request is received, creates a task for the front desk with the days that suit her and tells her the salon will confirm the new time. The desk sees the task at once and can offer the freed table to another client.

How digital employees work

Questions owners ask

Can the system remind clients when their fill is due?
Yes. Store the date of the last set or fill in a field on the contact and set up a scheduled workflow. When the date comes round, it sends her a message with your booking link, or creates a task for the technician to write personally.
Can clients book a full set online, or only simple manicures?
The online booking page lets a client pick a free time slot. For work that depends on the details — removal of old product, extensions, a complex design — it is worth confirming the length of the visit in the chat, and the answers stay on her contact.
Where do photos of finished sets and client references go?
On the client's record. Pictures she sends in a messenger are kept in her conversation log, and a technician can attach photos of the finished set as files. Next time, both of you look at the same picture of what she had.
Will my technicians manage it between clients, with gloves on?
It opens in a phone's browser, so there is nothing to install. Between clients a technician checks who is next, reads the nail card and the reference, and after the set adds a short note with the products and shades used.
