CRM for Barber Shops

Walk-ins, standing appointments and chair rent in one place — with every regular's fade, guard and beard line written down, whichever barber he sits with.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A barber shop runs on regulars who come back every few weeks and on whoever walks in off the street. Lunch hours and Saturdays fill every chair, and the phone rings exactly when all hands hold clippers. The cut a man liked lives in one barber's memory, the walk-in rotation lives on a whiteboard, and chair rent is settled in cash at the end of the week. Each of these gets lost the moment the shop is busy.

  • The problem

The phone rings while every barber has clippers in hand, and the caller books somewhere else.

    In Kompot.ai

Put the online booking page link on your website and in your messenger profile, and a regular picks a free slot himself. Texts to the shop's WhatsApp or SMS number land on his contact, so a question sent mid-fade is answered between cuts, not forgotten.

  • The problem

A regular sits down with a different barber and asks for the same as last time.

    In Kompot.ai

His contact carries the cut as custom fields: guard on the sides, how high the fade goes, tapered or blocked neckline, beard line. Add a photo of the finished cut to the record, and any barber in the shop reads it before the cape goes on.

  • The problem

Chair rent is chased by text every week, and somebody is always behind.

    In Kompot.ai

Add each renting barber as a contact and bill the chair with a subscription invoice that goes out weekly. It carries a payment link, the payment is recorded against it, and a late one is flagged as overdue without anyone keeping a list.

  • The problem

A man who came in like clockwork for years stops showing up, and nobody notices.

    In Kompot.ai

Keep the date of the last cut on the contact. A scheduled workflow picks out regulars who have gone quiet and creates a task for their barber, who sends a short personal message from the shop's number. The reply lands in the same conversation.

  • The problem

A booked slot at the Saturday peak goes empty while walk-ins were sent away at the door.

    In Kompot.ai

A client who books through the booking page gets an email confirmation and reminders ahead of his cut. If he cannot make it and writes to the shop, the message is in the conversation log in time to give the chair to the next walk-in. Repeat no-shows are a note on the contact that the whole shop can see.

How one order runs

From a walk-in to a regular with a standing slot

  1. He walks in or books

A walk-in gives his name and number at the door and becomes a contact. A regular books through the booking page, and his slot shows on the shop's shared calendar.

  2. The chair and the cut card

The barber opens the contact on his phone and reads the last cut: guard, fade, neckline, beard. A first-timer gets these fields filled in while the cut is fresh.

  3. Paying for the cut

The cut, the beard trim and the hot towel shave come from the price list onto an invoice. He pays at the chair or by card through the payment link, and the payment is recorded.

  4. The next visit

Before he leaves, his next cut goes on the calendar a few weeks out. A workflow reminds him by message the day before, so the slot does not depend on his memory.

What you keep on record

Cut card
Guard, fade height, neckline, beard shape and parting as custom fields on the client, with a photo of the finished cut.
His barber
Who usually cuts him and who covered last time, so the front of the shop knows which chair a regular belongs in.
Chair rent
The signed rental agreement as a document and the weekly subscription invoice for each barber who rents a chair.
Service menu
Haircut, skin fade, beard trim, hot towel shave and kids' cut in the price list, priced by barber level if you need it.

Where an AI employee steps in for Barber Shops

  • The moment

Someone calls at the lunch rush asking whether he can get a cut today without an appointment.

The voice agent answers, explains your opening hours and how walk-ins work, and takes his name and the service he wants. The recording and summary are saved on the contact, and a workflow notifies the shop so a barber can text him a time.

  • The moment

A regular writes on WhatsApp at night: same barber, same time, next Friday?

The AI employee finds his contact, replies with the link to the booking page and creates a task for his barber to confirm the slot in the morning. He gets an answer that night, and the barber sees the request before the first cut of the day.

  • The moment

A groom asks in the website chat about cuts and shaves for his groomsmen on the wedding morning.

The AI employee asks for the date, how many men are coming and which services they want, saves the answers on a new contact and opens an opportunity for the owner, who replies with an estimate from the price list.

How digital employees work

Questions owners ask

Most of our clients are walk-ins. Is a CRM any use without appointments?
Yes. A walk-in still becomes a contact with a cut card and a history, so the second visit starts from what worked the first time. The booking page and calendar serve the clients who do book, and both kinds sit in the same list.
Can I bill chair rent to my barbers every week?
Yes. Subscription invoices can run on a weekly cycle, one per barber who rents. You stop collecting cash at the end of the week: the rent arrives through the payment link, and the barber who has not paid shows up as overdue.
Do my barbers have to install anything on their phones?
No. Kompot.ai opens in the phone's browser. A barber checks the day's bookings, reads a client's cut card, adds a note or a photo after the cut and answers messages from there.
Can I limit what a renting barber sees in the system?
Yes, by section. Permissions are set per section of the system, not per client: a renting barber's role can work with contacts and be kept out of invoices, reports and settings, which stay with the owner or the front desk.
