What goes wrong, and what we do about it
A skincare studio sells results that take a course, not a visit. A series of peels works only if the sessions are spaced properly, the client stops her retinol beforehand and stays out of the sun afterwards. Peel season starts when the summer ends, and a full book in autumn follows a quiet August. The intake form sits in a paper folder, the course plan is in the esthetician's head, and the client who skipped a session is noticed a month too late.
The problem
Before a peel nobody can find the intake form that says whether the client uses a retinoid.
In Kompot.ai
Ask the intake questions once and save the answers as custom fields on the contact: skin type, sensitivities, retinoids, current home care. The consent form is a document template she signs by link or QR code, and the signed PDF sits on the same card.
The problem
A client starts a course of peels, comes twice and disappears before the result shows.
In Kompot.ai
Set the course up as a project for that client, with each session as a task with its date. Progress notes and photos go in after every session. A session that passes its date shows as an overdue task, and a workflow sends her a message to rebook.
The problem
She arrives for a peel straight from a beach vacation, and the session has to be canceled.
In Kompot.ai
A workflow messages her ahead of the visit with your pre-care rules: pause retinol and acids, no sunbathing, no waxing of the area. Her reply comes into the same conversation, so a session that should move is moved early and the treatment room is not held for nothing.
The problem
On the third day after a peel she panics about flaking and messages at midnight.
In Kompot.ai
Your post-care guide lives in a public knowledge base category and goes out by workflow after the session. Her message and photo land in the conversation log on her contact, where you see which peel she had and when before you answer.
The problem
She asks for the serum you recommended last time, and nobody wrote down which one it was.
In Kompot.ai
Home-care products are items in your price list, so a sale goes onto an invoice with a payment link. The contact page shows what she bought and when, and a note holds the routine you gave her: morning, evening, what to stop before the next session.
How one order runs
From intake questions to a finished course of peels
First contact and intake
She writes about breakouts or pigmentation. You save her answers about skin type, sensitivities and products as fields on a new contact and send the consent form to sign.
Consultation and course plan
After the consultation and a patch test you send an estimate for the course from the price list. She approves it, and the course becomes a project with a task for each session.
Sessions with care messages
Before each session a workflow sends the pre-care rules, and afterwards the post-care guide. You add progress notes and photos to the project after every visit.
Payment and maintenance
The approved estimate becomes an invoice. You record each session's payment against it as a partial payment, and the invoice shows what is still open. When the course ends, a reminder for a maintenance facial is set.
What you keep on record
- Skin profile
- Skin type, concerns, sensitivities, retinoid use and patch test date as custom fields on the client.
- Consent forms
- A signed consent for each type of treatment, kept as a PDF with its audit trail on the contact.
- Course progress
- A project per course: sessions as tasks, notes on how the skin responded and photos from each visit.
- Treatments and home care
- Facials, peels, add-ons and take-home products in the price list, used for course estimates and invoices.

Where an AI employee steps in for Skincare Studios
The moment
The evening after a peel a client writes on WhatsApp that her face is red and tight.
The AI employee sends your post-care guide from the knowledge base and does not assess her skin itself. It passes the conversation to the esthetician with a notification, and tells the client that a person will look at her message and photo.
The moment
A new visitor asks in the website chat which facial is right for acne-prone skin.
The AI employee describes the treatments from your knowledge base without choosing one for her, explains that the esthetician decides after a consultation, creates a contact with her answers and sends the booking link for a consultation.
The moment
A client in the middle of a course calls on your day off to move her next session.
The voice agent takes the call and notes which session she means and which days suit her. The summary is saved on her contact, and a workflow creates a task for you to check the interval between sessions before offering a new date.
Questions owners ask
- Can clients sign a consent form before a peel or microneedling?
- Yes. Keep one document template per treatment, since a peel and microneedling need different wording. Send the right one by email or link before the visit, or offer the QR code in the treatment room. The signed PDF is saved on her contact.
- How do I run a course of treatments, not just single visits?
- Create a project for the client's course, with every session as a task that has a date. Keep progress notes and photos there. Bill the course with one invoice and record each session's payment as a partial payment.
- Can I tell last year's peel clients that the season has started?
- Yes. Select the contacts who had peels as a segment and send them an email campaign when the sun gets weaker. For individual reminders, a scheduled workflow can message a client when her maintenance visit is due.
- Where do before-and-after photos go?
- On the client's record: attach them as files to her contact or to the project of her course, next to the progress note for that session. Permissions are set per section of the system, so the photos are seen by the team members whose role opens contacts and projects.
