What goes wrong, and what we do about it

RV repair is seasonal and slow at the same time. In spring every owner wants the rig de-winterized before the first trip, in the fall they all want it winterized, and in between sit the long jobs: water damage, a delaminating wall, a refrigerator on backorder from the manufacturer. A coach can stay on the lot for weeks waiting for one part, and its owner, often several states away, has only your phone line to find out what is happening.

  • The problem

Every owner wants de-winterizing done in the same April week, and the schedule is a whiteboard.

    In Kompot.ai

Before the season, message the customers you winterized in the fall with a link to your booking page and let them choose a drop-off day. Each booking lands on the calendar, and you open a job for the rig with its technician, so you see the season filling before it starts.

  • The problem

A water heater or a slide-out motor is on backorder, and the coach blocks a bay with no date.

    In Kompot.ai

Put a task on the job for each ordered part with the supplier and the expected date, and move the job to a waiting-for-parts stage. The board shows which rigs are stalled and why, and an overdue task tells you whom to chase.

  • The problem

The owner lives far away and calls every week for news on a repair that takes a month.

    In Kompot.ai

Run the repair as a project and share it by link. The owner sees the tasks — roof reseal, wall panel, refrigerator install — as they get done, and writes a comment there instead of calling the service desk.

  • The problem

Opening a soft floor reveals rot far wider than quoted, and the added work is approved by voicemail.

    In Kompot.ai

Photograph what you found, attach the photos to the job and send a revised estimate from your labor and parts price list. You see when the owner viewed and approved it, and the invoice carries the approved amount instead of a disputed total.

  • The problem

A long repair is paid only at pickup, so the shop finances parts and labor for weeks.

    In Kompot.ai

Bill in two invoices: one for the deposit when special-order parts are ordered, a second for the balance at pickup. Each has its own payment link, so the owner pays by card from wherever they are, and an overdue invoice is flagged.

How one order runs

From a leak report to a repaired coach picked up and paid

  1. The owner calls about a leak

The call is recorded on the customer. You note the unit — motorhome, fifth wheel or travel trailer — its make, model, year and length, and set a drop-off day.

  2. Inspection and estimate

The technician inspects the roof, seals and walls, adds photos to the job and writes the estimate. The owner approves it online and pays a deposit.

  3. Parts and repair

Ordered parts get tasks with expected dates. The project gathers the jobs and invoices, and the owner follows the task list by link while the coach waits on the lot.

  4. Pickup and final invoice

When the work is done the owner gets a message, pays the balance by link and signs the pickup form electronically. The next winterizing date goes on their record.

Where an AI employee steps in for RV Repair Shops

  • The moment

An owner on the road calls on a Sunday because the slide-out will not retract.

The voice agent answers, asks for the make and model, where the rig is and what the slide does, and transfers the call to your on-call technician if you have one. Otherwise the summary and transcript wait on the contact for Monday.

  • The moment

An owner several states away asks on WhatsApp whether the refrigerator has arrived.

The AI employee looks up the repair project, reports the current stage and the expected date on the parts task, and passes the conversation to the service writer if the owner asks to change the scope of work.

  • The moment

In early spring the website chat fills with requests to de-winterize before the first trip.

The AI employee asks for the unit type and length, sends your booking link for a drop-off day, saves the contact and creates a task for the service writer when the owner also mentions a repair.

How digital employees work

Questions owners ask

Can it handle a repair that stays open for weeks?
Yes. A long repair is a project that groups its jobs, tasks and invoices. Jobs move through stages you define, such as inspection, waiting for parts, in repair and ready for pickup, and progress notes keep the story of the coach in one place.
How do owners who live far away follow the work?
Share the project by link: they see the tasks and can comment. Estimates are approved online, invoices are paid by card through a payment link, and the pickup form can be signed electronically from another state.
Can I schedule the winterizing and de-winterizing rush?
Yes. Keep the seasonal service date on the customer and let a scheduled workflow send a reminder with your booking link. Booked drop-offs appear on the calendar as meetings, and you open a job for each rig with a technician assigned.
Can I take a deposit before ordering expensive parts?
Yes. Put the deposit on its own invoice with a payment link before the awning or the refrigerator is ordered, and bill the balance on a second invoice at pickup. A deposit sent by bank transfer is recorded by your staff as a partial payment.
