CRM for Auto Body Shops

Estimates, supplements and every car's place in the shop — teardown, body, paint, reassembly — visible to the office and clear to the owner without a phone call.

What goes wrong, and what we do about it

A body shop job is long, and most of that time is waiting: for the adjuster's approval, for a backordered fender, for a free paint booth. The owner, left without a car, calls again and again with the same question. Hidden damage found at teardown changes the estimate, and if that supplement is agreed on the phone and written nowhere, the shop argues about it at delivery.

  • The problem

The owner, left without a car, keeps calling to ask when the repair will be finished.

    In Kompot.ai

Open a project for the repair and share it with the owner by link. They see the stages as tasks — teardown, body work, paint, reassembly, final detail — and leave a comment there instead of calling the front office.

  • The problem

Teardown reveals hidden damage, and the supplement is agreed by phone with nothing in writing.

    In Kompot.ai

Write the supplement as a new estimate from your labor and materials price list and send it. You see when it was viewed and approved, and the approved supplement converts into an invoice, so the final bill matches what was signed off.

  • The problem

A car sits in a stall for days because nobody noticed the bumper cover never arrived.

    In Kompot.ai

Give each ordered part a task with the supplier, the expected date and an assignee. Overdue tasks show per person, and the job stays in a waiting-for-parts stage on the board until someone marks the delivery.

  • The problem

A walk-in estimate is written, handed over, and the driver is never heard from again.

    In Kompot.ai

Track each estimate as an opportunity in a pipeline: estimate written, sent, approved, scheduled, in repair. A workflow creates a follow-up task when an estimate gets no answer, and the board shows how much body work is waiting for a yes.

  • The problem

Drop-off photos are spread across several phones when a pre-existing dent is disputed.

    In Kompot.ai

Photos of every panel at drop-off go on the job, with notes on prior damage. A drop-off form made from a template is signed electronically, and its audit trail shows what the owner acknowledged before the teardown began.

How one order runs

From a damage estimate to a delivered, paid repair

  1. Estimate at the curb

Photograph the damage, add the vehicle, the plate and the claim number to the customer, and build the estimate from your labor rates and materials.

  2. Approval and scheduling

The owner approves the estimate online. You order the parts, set tasks for their arrival and put the drop-off date in the shared calendar.

  3. Repair by stage

The job moves through teardown, body, paint, reassembly and detail. A supplement goes out as a second estimate, and the owner follows the shared project.

  4. Delivery and payment

Each approved estimate becomes an invoice. A payment that arrives by bank transfer is recorded on it as a partial payment, the link charges the owner what is still open, and the delivery form is signed electronically.

Where an AI employee steps in for Auto Body Shops

  • The moment

A driver sends a photo of a dented quarter panel in the evening and asks for a rough price.

The AI employee asks for the make, model, year and how the damage happened, explains from your instructions that a firm estimate needs an inspection, creates a contact and an opportunity, and offers your booking link for an estimate visit.

  • The moment

The owner asks on WhatsApp whether the car is out of the paint booth yet.

The AI employee looks up the repair project and the job, answers with the current stage and your latest progress note, and passes the question to the estimator when it is about a delivery date it cannot confirm.

  • The moment

A call comes in after hours: someone was rear-ended and wants the car looked at.

The voice agent answers, takes the caller's name, the vehicle, whether it drives and who the insurer is, and saves a summary on a new contact. A workflow creates a task for the estimator to call back in the morning.

How digital employees work

Questions owners ask

Where do I keep the insurer and the claim number?
As custom fields on the customer, next to the vehicle. The adjuster can be a separate contact, with their emails and calls in the history. The estimates and supplements you send are stored with their approval status.
Can the owner follow the repair without calling the shop?
Yes. Share the repair project by link: the owner sees the stages as tasks and can leave a comment. A workflow can also message them when the job moves to paint or to ready for delivery, so the news reaches them before they ask.
How do supplements work after teardown?
Create a second estimate for the hidden damage from your price list and send it. It records when it was viewed and whether it was approved or rejected. An approved supplement converts into an invoice, so the final amount traces back to each approval.
How do I keep track of parts that are on order?
With tasks. Each ordered part gets a task with the supplier, the expected date and an assignee inside the repair project. Overdue tasks are listed per person, and the job stays in the waiting-for-parts stage until the part is delivered.
