What goes wrong, and what we do about it

A paint job is priced on a walk through the house and judged on the last afternoon. Between them sit the things that go wrong: a color that changed after the estimate, prep work nobody wrote down, a customer who added the hallway by text. Exterior season is short and rain reshuffles the week, and a couple of years on the same customer asks which white is on the trim and nobody remembers.

  • The problem

The estimate says 'paint living room' and the argument starts over ceilings, trim and closets.

    In Kompot.ai

Build the estimate from a price list with separate lines for walls, ceilings, trim, doors and prep such as patching and caulking, room by room. The customer approves exactly that scope, and the approved estimate becomes the invoice.

  • The problem

The customer changes the bedroom color by text, and the crew buys the old one.

    In Kompot.ai

Colors live in custom fields on the customer — brand, color name, code and sheen for each room — and the text itself sits in the conversation log. The crew lead checks the job on a phone before going to the paint store.

  • The problem

Rain cancels an exterior and the whole week's schedule has to be redone by phone.

    In Kompot.ai

Each paint job has a crew and a time window on the shared calendar. Move the exterior, slot an interior into the gap, and message the affected customers from their records with a saved reply about weather delays.

  • The problem

The final walk-through turns up touch-ups, and they are never written down.

    In Kompot.ai

Create a task for the punch list with a subtask for every touch-up — the drip on the stair trim, the missed closet shelf. If the job runs as a project shared by link, the customer sees the list shrink and can comment on what is left.

  • The problem

A past customer wants the same trim color for the addition and nobody knows which it was.

    In Kompot.ai

Every past job, with its colors, sheens and photos of the finished rooms, stays on the customer's page. When it is time for a repaint, the record tells you what is on the walls, and an email campaign can remind past exterior customers before the season.

How one order runs

From the estimate walk to the final walk-through

  1. The request and the estimate visit

An inquiry by call, chat or message becomes a contact and an opportunity. The estimate visit goes on the calendar, or the customer picks a slot on your booking page.

  2. Rooms, surfaces, prep

You walk the house, note each room's surfaces and condition, take photos, and send an estimate with walls, ceilings, trim and prep as separate lines for the customer to approve.

  3. Colors confirmed, crew scheduled

Color names, codes and sheens go on the customer's record. The paint job is put on the calendar with a crew, and the deposit is paid through the link on its own invoice.

  4. Walk-through and final payment

Touch-ups from the walk-through are closed out as subtasks. The customer signs the completion form, and the balance is paid by card online.

Where an AI employee steps in for Painting Contractors

  • The moment

Three bedrooms need repainting, and the owner types into your website chat: what would it cost?

The AI employee asks which rooms, whether ceilings and trim are included, the condition of the walls and when they want it done, saves the answers on a new contact and sends your booking page link for an estimate visit.

  • The moment

A customer messages on WhatsApp the night before: can the crew start an hour later?

The AI employee looks up the paint job on the customer's record, creates a task for the crew lead with the request and replies that a person will confirm the start time. It does not change the schedule on its own.

  • The moment

A call comes in while everyone is on ladders: someone wants a deck stained before summer.

The voice agent answers, takes the address, the size and condition of the deck and when they are free for a visit, and can transfer the call if they ask for a person. The summary is saved, and a workflow creates a task to call back.

How digital employees work

Questions owners ask

Can I estimate room by room with prep work as separate lines?
Yes. Put walls, ceilings, trim, doors, patching and priming in the price list as separate items and build the estimate room by room. The customer sees the full scope, and you see when they open and approve it.
Where do paint colors and sheens get recorded?
In custom fields on the customer: brand, color name, code and sheen per room. They stay with the customer's history, so a touch-up or a repaint later starts from the right can.
Can the customer see the punch list after the walk-through?
Yes, if you run the job as a project and share it by link. The customer sees the touch-up tasks and can comment on them. When the list is done you send the completion form for signature and the final invoice.
Can a crew lead use it on site with paint on their hands?
Yes. It opens in a phone's browser, with nothing to install. The crew lead sees the day's job, the rooms, the colors and the prep notes, adds photos of finished walls and marks the job complete.
