What goes wrong, and what we do about it

A pool route is the same stops on the same days, week after week, and the work is judged by water the customer looks at every morning. The readings a technician takes — chlorine, pH, alkalinity, stabilizer — only mean something next to last week's, and they usually stay on a clipboard in the truck. Meanwhile the profitable part, the filter clean or the failing pump the technician noticed, never reaches the office as a quote.

  • The problem

The customer says the water has been cloudy for weeks and you have no readings to show.

    In Kompot.ai

The technician adds a note to each visit's job with chlorine, pH, alkalinity and what was added, plus a photo of the pool. The readings line up by date on the customer's page, so you can show what was found and what was done at every stop.

  • The problem

The filter is overdue for a clean and nobody notices until the pressure climbs and the water turns.

    In Kompot.ai

Keep the date of the last filter clean and the last salt cell inspection as fields on the customer. A scheduled workflow creates a task for the technician when the next one is due, so it is done on a regular stop and billed, not discovered as a green pool.

  • The problem

The tech spots a leaking pump seal, mentions it at the door, and the repair is never quoted.

    In Kompot.ai

The technician attaches a photo of the pump to the job, and the office builds the repair estimate from the price list that afternoon. You see whether the pool owner has opened it, and once they approve, it becomes the invoice for the repair.

  • The problem

Monthly service is billed by hand and the extra chemicals never make it onto the bill.

    In Kompot.ai

Run the monthly service as a subscription invoice with a card payment link. Extras — a filter clean, a shock treatment after a storm, a bag of salt — go on a separate invoice from the product catalogue, raised from the job where they were used.

  • The problem

Opening season arrives and the same customers have to be chased one by one.

    In Kompot.ai

Send an email campaign to the segment of customers whose pools you opened last year, with a link to the online booking page where they pick a free slot. A scheduled workflow then gives the office a task to phone the rest before the first warm week.

How one order runs

From a green pool call to weekly service

  1. The first call

The owner describes a pool that has turned green. The call is recorded, a contact is created, and you note the pool's volume, its surface and whether it runs on salt or chlorine.

  2. Cleanup estimate

The estimate lists the cleanup visits, the chemicals and a filter clean from your price list. The owner approves it online, and a job is opened for the first cleanup visit.

  3. Visits and readings

At each stop the technician logs the readings and what was added in the job's notes, attaches a photo of the water and marks the stop done.

  4. Weekly service and billing

Once the water is clear, the service day is saved on the customer's record, the weekly stops go on the calendar and a subscription invoice bills them every month.

Where an AI employee steps in for Pool Service Companies

  • The moment

A homeowner messages that the pool has turned green and asks how fast you can clear it.

The AI employee asks for the pool's size, when it was last serviced and whether the pump is running, records it all on a new contact and starts an opportunity, so the office can send a cleanup estimate.

  • The moment

A weekly customer asks on WhatsApp whether the technician came today.

The AI employee opens today's job for that pool and replies with its stage and the note the technician left. If the stop was missed, it flags it to the office with a task and lets the customer know they will hear back.

  • The moment

A caller wants to book a pool opening before the first warm weekend.

The voice agent takes the address, asks whether you closed the pool last fall and what kind of cover it has, and saves the summary on the customer's record. A workflow creates the task to schedule the opening.

How digital employees work

Questions owners ask

Can technicians log chemical readings at each stop?
Yes. They open the job in a phone's browser and write the readings and the chemicals added as a note, with a photo. The notes build a dated log on the customer's page. They are free-form notes, not a dosing calculator.
How does it handle weekly service routes?
Each stop is a job with a technician, a day and an address, and the calendar or the job table shows a technician's stops for the day. The order of the stops is yours to decide; Kompot.ai does not plan the driving for you.
Can I bill monthly pool service automatically?
Yes. The monthly subscription invoice is sent with a payment link, the pool owner pays by card through Stripe or PayPal, and unpaid invoices are flagged as overdue. Repairs and extra chemicals are invoiced separately.
Can I keep track of each pool's equipment?
Yes. Add custom fields for the pump, the filter, the heater and the salt cell with make, model and install date. When a customer calls about a noisy pump, the office sees what is on the pad before sending anyone.
