What goes wrong, and what we do about it

Landscaping lives by the calendar. Contracts are sold while the ground is still frozen, the season opens with every cleanup wanted in the same two weeks, and by midsummer the crews mow on a cycle while the design jobs sold in spring wait for a dry stretch. Then come leaves and irrigation blowouts, and it goes quiet. What gets lost is the renewal: last year's customers who were not asked back before another company knocked.

  • The problem

Last season's maintenance customers are not asked to renew until the grass is growing.

    In Kompot.ai

Keep the contract season and the renewal date on the customer. Before spring an email campaign goes to the segment of last year's maintenance customers, the new agreement is sent for e-signature, and a scheduled workflow creates a task to call those whose renewal date is close.

  • The problem

Rain washes out a mowing day and half the customers are never told.

    In Kompot.ai

Each visit is a job with a crew and a time window on the shared calendar, so the office knows exactly which lawns were due. Move them to the next dry day and message those customers a saved reply from their conversation log.

  • The problem

A patio and planting quote goes through round after round and the versions pile up in email.

    In Kompot.ai

Price the plants, stone, soil and labor from your catalogue into one estimate and send it from the opportunity. You see when it is viewed, every revision stays on the same record, and after approval the deposit is billed as an invoice of its own with a payment link.

  • The problem

The crew comes to start up the irrigation and nobody knows where the controller is.

    In Kompot.ai

Custom fields on the customer hold the zones, the controller location, the backflow device and where the shutoff sits. Photos from last fall's blowout are on that job, so the spring start-up begins with what was found then.

  • The problem

Monthly maintenance billing and one-off extras like mulch get mixed up or missed.

    In Kompot.ai

Bill the contract as a subscription invoice every month of the season. Mulch, aeration or a storm cleanup goes on its own invoice from the price list, and both sit on the customer's page showing what is paid and what is overdue.

How one order runs

From a spring walk-through to a full-season contract

  1. The property is walked

A request from the website opens a contact. After the walk-through you save the lawn and bed details, the gate width and what the customer wants maintained.

  2. Proposal and agreement

The estimate lists the spring cleanup, weekly mowing, bed care and fall leaf removal. Once it is approved, the seasonal agreement is signed by e-signature.

  3. Crews work the season

Cleanups and mowing visits are jobs on the calendar, each assigned to a crew. The crew leader checks the property notes on a phone, adds photos and marks the visit done.

  4. Monthly billing and renewal

A subscription invoice bills the contract each month with a payment link. Before the next season a workflow reminds you to send the renewal.

Where an AI employee steps in for Landscaping Companies

  • The moment

A homeowner messages in early spring asking for a weekly mowing price.

The AI employee asks for the address, whether the back yard is fenced and whether cleanups and bed care are wanted too, creates the contact with those details and opens an opportunity, so your estimator can plan the walk-through.

  • The moment

A contract customer asks on Messenger whether the crew is still coming after last night's storm.

The AI employee looks up the customer's job for the week and answers with the day it is scheduled. If the customer reports a fallen limb, it creates a task for the office and says someone will call about a cleanup.

  • The moment

A caller wants their sprinkler system shut down before the first freeze.

The voice agent takes the address and asks whether you installed the system and how many zones it has. The summary lands on the customer's record and a workflow creates a task to book the blowout.

How digital employees work

Questions owners ask

Can I manage seasonal maintenance contracts and renewals?
Yes. The contract terms and the renewal date are fields on the customer, the agreement is signed by e-signature, and the season is billed through subscription invoices. An email campaign and a scheduled workflow carry the renewal push before spring.
Does it work for design-build projects, not just mowing?
Yes. A patio or a planting job is an opportunity with an estimate, a deposit invoice followed by a balance invoice, and a project that groups the tasks and jobs. Share the project with the customer by link and they follow the tasks and comment.
How do crews know what to do at each property?
The job on their phone shows the address, the time window and the property notes: gate code, dogs, beds to leave alone, where clippings go. Crew leaders add photos and notes after the visit, and these stay in the property's history.
Can it reschedule visits around the weather by itself?
No. Kompot.ai does not read forecasts. You move the affected jobs on the calendar yourself; what it saves is the phoning, because the customers on those jobs can be messaged from their records with a saved reply.
