CRM for Moving Companies

Surveys, crew and truck bookings and moving-day paperwork in one system — the item list, the stairs and elevators at both addresses and the deposit, all on one move.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A move is booked weeks ahead and decided in a single day. The survey has to catch the piano, the third-floor walk-up and the storage unit nobody mentioned, the date has to be held with a deposit, and the crew and the truck must not be promised twice. Then moving day brings extra boxes and a late elevator, and the end of the month, when every lease turns over, brings everything at once.

  • The problem

The survey notes miss the piano and the walk-up, and the crew is one mover short.

    In Kompot.ai

Record the survey on the customer and the move: rooms, large and fragile items, stairs, elevator and parking at both addresses as custom fields, with photos and the item list attached as files. The crew chief reads it before the truck leaves the yard.

  • The problem

The same truck gets promised to two customers on the last Saturday of the month.

    In Kompot.ai

Each move is a job with a crew, the truck noted on it and a time window, and it appears on the shared calendar. Before you confirm a date you see what is already booked that day, and tentative moves wait in their own pipeline stage until the deposit is in.

  • The problem

A customer books a date, pays nothing, and cancels the night before.

    In Kompot.ai

Send the estimate, get it approved, and invoice the deposit with a payment link. The date is confirmed when that deposit invoice is paid by card, and the signed moving agreement states your cancellation terms.

  • The problem

Moving day adds twenty boxes, a second stop and a long carry, and nobody signs for it.

    In Kompot.ai

The crew chief opens the move on a phone and notes the extra items, the second stop or the long carry, and the office sends an addendum from a template. The customer signs it on their own phone by link or QR code before the work goes on.

  • The problem

The balance is due at delivery, and the driver is left waiting for a check.

    In Kompot.ai

The balance is a second invoice, separate from the deposit that held the date. Send its payment link when the truck arrives: the customer pays by card through Stripe or PayPal, and the payment is recorded before the truck doors open.

How one order runs

From the home survey to the last box delivered

  1. The move request

A call, chat or message creates a contact with the moving date, both addresses and the size of the home. The request goes into your pipeline as an opportunity.

  2. Survey and estimate

After a visit or a video call you record rooms, bulky items and access at each address, and send an estimate with crew, truck, packing and materials from the price list.

  3. Deposit and booking

The customer approves the estimate, signs the moving agreement and pays the deposit online. The move goes on the calendar as a job with its crew and truck.

  4. Moving day and delivery

The crew chief works from the move on a phone, changes are signed as an addendum, and the balance is paid by card through the payment link at delivery.

Where an AI employee steps in for Moving Companies

  • The moment

Someone writes in the website chat at night: a two-bedroom apartment, end of the month.

The AI employee asks for both addresses, the date, floors and elevators and any pianos or safes, saves the answers on a new contact, opens an opportunity and offers your booking page link for a survey.

  • The moment

A customer messages the day before: the building only allows the elevator in the afternoon.

The AI employee looks up the move on the customer's record, creates a task for dispatch with the new elevator window, and tells the customer the office will confirm the arrival time. It passes the conversation to a person if they ask for one.

  • The moment

On a Sunday a caller wants to know if you can move an office next weekend.

The voice agent answers, takes the addresses, how many workstations there are and the date, and can transfer the call to your sales person. The recording, transcript and summary are saved, and a workflow creates a follow-up task.

How digital employees work

Questions owners ask

Can I hold a moving date with a deposit?
Yes. Invoice the deposit as soon as the estimate is approved. It is its own invoice with a payment link, and the customer pays it by card. The balance goes out as a second invoice, due when the truck is unloaded.
How do I avoid booking the same crew or truck twice?
Each move is a job with its assignees and time window on the shared calendar, and you can note the truck on the job. Kompot.ai shows what is booked on a date; whether another move fits that day is your call.
Can customers sign for extra items on moving day?
Yes. Prepare an addendum template with merge fields. The office or the crew chief sends it by link or QR code, the customer signs on their phone, and the signed PDF with its audit trail is saved on the customer.
Does it work for storage customers billed every month?
Recurring storage fees can go out as subscription invoices billed monthly, each with a payment link, and overdue ones are flagged. Which unit or vault holds the goods is something you note in a field on the customer.
