CRM for Locksmiths

Lockouts that have to be answered now, and key codes and master-key charts that have to be found years later — both kept on the customer's record instead of in a notebook in the van.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A locksmith's day mixes two kinds of work. Lockouts arrive by phone, at any hour, from people who will call the next number if yours is not answered and who want the price before you set off. Rekeys, key cutting and master-key systems are the opposite: slow, exact, and worthless if the key code or the pinning chart is lost. The same business has to be the fastest to pick up and the most careful with its records.

  • The problem

A lockout call at night goes unanswered, and the customer dials the next locksmith in the list.

    In Kompot.ai

Calls come in through your connected number and are recorded; a new caller becomes a contact. On the Full Service plan a voice agent picks up at any hour, takes the address and the kind of lock, and transfers the call to whoever is on call.

  • The problem

The price given on the phone and the price at the door do not match, and the customer objects.

    In Kompot.ai

Your price list holds each lockout type, the after-hours callout and rekeying per cylinder. The dispatcher sends an estimate by SMS before you leave, the customer approves it, and that same estimate becomes the invoice on the doorstep.

  • The problem

A customer wants one more key and the key code from last time was never written down.

    In Kompot.ai

Key code, blank, keyway and — for a car — make, model and transponder type are custom fields on the customer. The next key is cut from the record instead of decoding the lock again, and the past job shows who cut the last one.

  • The problem

The pinning chart for a client's master-key system lives in one locksmith's notebook.

    In Kompot.ai

Attach the chart as a file to the client's record and list each door's cylinder in the notes. The chart survives staff changes, and roles and permissions keep staff who have no business in customer records out of the contacts section altogether.

  • The problem

You opened a door for someone and have nothing showing they had the right to ask.

    In Kompot.ai

In the job the locksmith notes what proof was checked — ID, lease, vehicle registration — and the customer signs an authorization form on a phone by QR code. The signed PDF, with its audit trail, is kept on the customer's record.

How one order runs

From a lockout call to payment at the door

  1. The lockout call

The caller says where they are and what they are locked out of — house, car or office. The call is recorded and the number is saved as a contact.

  2. A price before you drive

The dispatcher sends an estimate from the price list by SMS: the opening, the callout, a new cylinder if needed. The customer approves it on their phone.

  3. Proof, then the door

The locksmith opens the job on a phone, checks ID or the lease, has the authorization signed and notes the lock brand and how entry was gained.

  4. Card payment on the doorstep

The approved estimate converts into an invoice. The customer pays by card through the link before the van pulls away, and the payment is on their record.

Where an AI employee steps in for Locksmiths

  • The moment

Someone calls in the small hours, locked out of their apartment with the keys inside.

The voice agent asks for the address, the type of door and lock and whether a child or a pet is inside, then transfers the call to the locksmith on call. The recording and a summary are saved, so what the caller was told is never in doubt.

  • The moment

A property manager messages that a tenant has moved out and the unit needs rekeying.

The AI employee finds the manager's record, confirms which building and unit, and creates a task for the rekey with the move-in date of the next tenant. It tells the manager the office will confirm the visit time.

  • The moment

A driver asks through the website chat what a spare transponder key would cost.

The AI employee asks for the make, the model year and whether a working key still exists, then creates a contact with those details and an opportunity for the locksmith who programs keys. It does not guess a price it was not given.

How digital employees work

Questions owners ask

Can I limit who sees key codes and master-key charts?
Only by section. A role either can open contacts or cannot — permissions do not hide one client, one file or one field. You can keep a helper or an office temp out of customer records, invoices, reports or settings entirely; anyone allowed into contacts sees the codes stored there.
Can the customer approve the price before I drive to a lockout?
Yes. Build the estimate from your price list and send it by SMS or messenger while they are still on the line. You see when it is viewed and approved, and the approved estimate converts into the invoice.
How do I take a card payment on the doorstep?
Send the invoice with its public payment link. The customer opens it on their own phone and pays the full amount by card through Stripe or PayPal, and the payment is recorded against the invoice. If part is handed over in cash, you record it and the link charges the rest.
Does someone answer lockout calls while I am asleep?
On the Full Service plan, yes: a voice agent answers at any hour, follows your instructions on what to ask and can transfer the caller to the on-call locksmith. Each call is recorded, transcribed and summarized on the caller's record.
