What goes wrong, and what we do about it

A fence job is won on the site visit and lost in the details. One missed gate, a wrong footage on the back run or an unanswered question about the property line turns a profitable install into a second trip. Spring fills the calendar within days, material lead times stretch, and homeowners who asked for wood, vinyl and chain link prices in the same breath wait a week for a quote.

  • The problem

Measurements and the yard sketch from the site visit get lost before the quote is written.

    In Kompot.ai

The site visit is a job with the address and a time window. The estimator photographs the sketch and the yard and enters the footage of each run, fence height, slope and gate openings in custom fields, so the quote is written from the record.

  • The problem

The homeowner wants prices for cedar, vinyl and chain link, and the quote takes a week.

    In Kompot.ai

Your price list holds each fence style by the linear foot, plus posts, gates and removal of the old fence. Build one estimate per material from the same footage, send them, and see which one the homeowner opens and approves.

  • The problem

Nobody checked the property line or the HOA rules, and the neighbor objects mid-install.

    In Kompot.ai

Create a task with subtasks before any digging: survey or plot plan received, HOA approval, utility locate requested, neighbor informed. The plot plan and approval letter are stored as files, and the signed contract states who is responsible for the line.

  • The problem

The crew arrives and the gate is on the wrong side, or swings the wrong way.

    In Kompot.ai

Gate width, hinge side, swing direction and latch type are fields on the customer, and the marked-up sketch is attached to the install job. The crew lead opens it on a phone in the yard before the first post hole is dug.

  • The problem

Materials are ordered before the deposit is paid, and the customer changes their mind.

    In Kompot.ai

The fence contract goes out from a template with the footage and style merged in. The deposit is its own invoice with a payment link, separate from the balance. When it is paid, move the deal to your deposit-paid stage, and a workflow creates the task to order materials.

How one order runs

From a site measure to a finished fence line

  1. A quote request comes in

A call, text or website chat lands on a new contact with the address and what they want fenced. The request becomes an opportunity, and a site visit is booked on the calendar.

  2. The yard is measured

The estimator walks the line, records the footage, height, gates and slope on the customer, photographs the sketch and notes where the property pins are.

  3. Quote, contract, deposit

Estimates by material go out, the homeowner approves one and signs the fence contract electronically, and the deposit is paid by card through the link on a separate deposit invoice.

  4. Install and final payment

The install job is assigned to a crew with a date. They add photos of the finished line and gates, and the balance is invoiced and paid online.

Where an AI employee steps in for Fence Contractors

  • The moment

A homeowner writes in the website chat: how much for a privacy fence around the backyard?

The AI employee asks for the address, rough footage, height, material and how many gates, explains from your knowledge base how pricing by the foot works, saves the answers on a new contact and opens an opportunity for a site visit.

  • The moment

A customer texts to ask when their install is scheduled and whether posts are set first.

The AI employee looks up the install job on the customer's record and answers with the date. For a change, such as moving a gate, it creates a task for the office and tells the customer a person will confirm.

  • The moment

A call comes in on Saturday: a section blew down and the dog can get out.

The voice agent takes the call, gets the address, the length of the damaged section and the fence type, and transfers to you if your instructions treat it as urgent. The transcript and summary are saved, and a workflow creates a repair task.

How digital employees work

Questions owners ask

Can I quote the same fence in wood, vinyl and chain link?
Yes. Keep each style in the price list with a price per linear foot and build a separate estimate for each from the measured footage. You see which estimates the homeowner viewed, and the approved one converts into an invoice.
Where do I keep the yard sketch and gate details?
Footage, height and gate details go in custom fields on the customer. The sketch, plot plan and site photos are files on the job, so the install crew opens one record and sees the whole layout.
Can the homeowner sign the contract and pay the deposit online?
Yes. The fence contract is sent from a template by email, link or QR code and signed electronically. The deposit goes out as its own invoice with a public payment link and is paid by card; the balance is a second invoice after the install.
Can one system handle both new installs and small fence repairs?
Yes. Give jobs their own types — site measure, install, repair — and their own stages. A storm repair is a single job with photos and an invoice; a full install runs as a project with the measure, the material order and the install.
