What goes wrong, and what we do about it
A carpet job is priced on the phone and judged at the door. The customer says one bedroom and a hallway; the technician finds a wool rug, a pet stain that has been there since winter and a sofa they hoped you would fit in. Then comes the evening call about a damp carpet, and months later the question of whether that faded patch was there before you came. What protects you is what was written down and photographed at the start.
The problem
A job quoted as two synthetic rooms turns out to include a wool rug with an old pet stain.
In Kompot.ai
Intake questions become custom fields on the customer: fiber, room count, stairs, pets, how old the stain is. Photos the customer sends by WhatsApp stay in the conversation, so the technician sees them in the job before loading the van.
The problem
A customer says the color loss by the window was not there before you cleaned.
In Kompot.ai
The technician photographs worn, faded and seam-damaged areas into the job before starting. A pre-inspection form built from a document template is signed on the customer's phone by link or QR code and kept with an audit trail.
The problem
Rugs taken to the wash plant lose their tags, and nobody can say which is dry and ready to go back.
In Kompot.ai
Each rug pickup is a job with stages you define — collected, dusted, washed, drying, ready, delivered. The board shows what is hanging in the drying room, and the customer's name, address and rug photos travel with the job.
The problem
Protector, deodorizer and the extra flight of stairs are agreed on site and missing from the bill.
In Kompot.ai
Every add-on is a line in your price list. The technician adds them to the invoice from the job while still in the hallway and sends the payment link, so the customer pays by card for exactly what was done.
The problem
A property manager texts move-out cleans unit by unit and half of them never get invoiced.
In Kompot.ai
Keep the building as a project under the manager's record: each unit's clean is a job, and the invoices sit alongside. Share the project by link and the manager sees which units are done and can comment on the next ones.
How one order runs
From a stain photo to a dry, paid-for carpet
A photo and a few questions
The customer sends a picture of the stain and the room. You ask about fiber, pets and what they already tried, and the answers are saved on the contact with the photo.
A quote by room and fiber
The estimate lists rooms, stairs, the wool rug by size and the pet treatment, all from your price list. The customer approves it before the van is booked.
Pre-inspection and cleaning
The technician walks the rooms, photographs existing damage, gets the form signed and cleans. A rug going to the plant becomes its own job with its own stages.
Paid before it dries
The invoice goes out from the job with a payment link, and the drying instructions follow in the same conversation.

Where an AI employee steps in for Carpet Cleaning Companies
The moment
Someone sends a picture of a red wine stain on WhatsApp and asks if it will come out.
The AI employee asks what the carpet is made of, how old the stain is and what has been put on it, and saves that on a new contact. It does not promise a result: it passes the question to your technician and opens an opportunity.
The moment
The evening after a clean, a customer writes that the carpet is still damp.
The AI employee answers from your drying article in the knowledge base — airflow, when to walk on it, when furniture goes back. If the customer describes a stain coming back up or a smell, it hands the conversation to a person.
The moment
A landlord calls after hours needing a move-out clean before new tenants arrive.
The voice agent finds out how many rooms there are, where the property is and the day the keys change hands. The call is recorded and summarized on the landlord's record, and a workflow creates a task for the scheduler to pick up first thing.
Questions owners ask
- Can I follow an area rug from pickup to delivery?
- Yes. Make each rug a job and define the stages your plant uses, from collected to delivered. The board shows every rug by stage, and the job holds its size, photos and the customer's delivery address.
- Can customers sign the pre-inspection form in their living room?
- Yes. Create the form once as a document template, and merge fields fill in the customer's details. The customer signs on a phone by link or QR code; the signed copy has an audit trail and exports to PDF.
- How do I price rooms, stairs, rugs and stain treatments?
- Each is an item in the price list: a room, a flight of stairs, a rug by area, pet treatment, protector. Estimates and invoices are built from those items, so the technician and the office quote the same price.
- Will it remind customers when their carpets are due again?
- Keep the date of the last clean in a field on the customer. A scheduled workflow can then message them when the next one is due and create a task for the office, and an email campaign can go to everyone cleaned last season.
