What goes wrong, and what we do about it

Appliance repair is rarely one visit. The first trip is a diagnosis, then a part is ordered, then someone has to remember to go back when it lands. Without the model and serial number from the rating plate the technician arrives blind, and without a list of jobs waiting on parts the return visit happens only when the customer calls to complain. A month later the same washer leaks again and the question is whether your repair warranty still covers it.

  • The problem

The technician learns the model number only at the door and has to come back with the right part.

    In Kompot.ai

At intake the customer sends a photo of the rating plate by WhatsApp or SMS. Brand, model, serial number and the error code go into custom fields on the customer, and the technician checks the likely part before the diagnostic visit.

  • The problem

A control board is on order and nobody books the return visit when it arrives.

    In Kompot.ai

Give your jobs a “waiting for part” stage and a task with the supplier's expected date. The board shows every stalled repair, and when a job is moved to “part arrived” a workflow tells the dispatcher to call the customer and set the second visit.

  • The problem

The customer agrees to an expensive repair at the door and disputes the price once it is done.

    In Kompot.ai

After diagnosis the technician sends an estimate from the price list — part, labor, the diagnostic fee already paid. You see the moment it is approved, and the deposit for the part goes out as its own invoice with a payment link before you order.

  • The problem

The same dryer fails again and nobody can tell if it is still inside your repair warranty.

    In Kompot.ai

The customer's page lists every past job on that machine with its date, the part replaced and the invoice. A warranty-until date in a custom field answers the question before anyone argues, and the callback is booked as a new job.

  • The problem

Receipts for parts bought at the supplier's counter ride around in the van for weeks.

    In Kompot.ai

The technician photographs the receipt into Expenses, and scanning fills in the supplier, date and amount. Part costs are on record the day they are spent instead of surfacing at month end in a shoebox.

How one order runs

From an error code to a finished repair

  1. Symptom, model and serial

The customer calls or writes about a washer that will not drain. You get the rating plate photo and the error code, and both are saved on the contact.

  2. Diagnostic visit

A job is assigned with an arrival window. The technician reads the model details on a phone, finds the fault and sends an estimate for the part and labor.

  3. Part on order

The customer approves and pays the deposit invoice by link. The job waits in its own stage with a task dated for the part's arrival, so it is not forgotten.

  4. Return visit and payment

The second visit is booked on the calendar, the part goes in, and the invoice for the balance is paid by card. The warranty date is set on the record.

Where an AI employee steps in for Appliance Repair Companies

  • The moment

Late in the evening someone writes that their dishwasher shows an error code and will not drain.

The AI employee asks for the brand, the model number from the plate inside the door and the exact code, saves them on a new contact and creates a task for the dispatcher to offer a diagnostic slot in the morning.

  • The moment

A customer asks on Telegram whether the part for their oven has come in yet.

The AI employee looks up the job and reads its stage. If the repair is still waiting, it says so; if the part has arrived, it tells the customer the office will call to book the return visit and creates that task.

  • The moment

A fridge stops cooling on a Saturday night and the owner calls with a freezer full of food.

The voice agent takes the brand, what the fridge is doing and the address, and transfers the call to your on-call technician if you offer weekend visits. Otherwise the summary is saved and a workflow creates a task for the dispatcher for the next working morning.

How digital employees work

Questions owners ask

Can I keep model and serial numbers for every appliance a customer owns?
Yes. A customer can have any number of custom fields, so the washer, dryer, fridge and range each get their brand, model and serial number. The technician sees them next to past repairs when opening a job.
How do I keep track of repairs that are waiting for a part?
Define a stage for them on the job board and add a task with the expected arrival date. You see all waiting repairs in one column, overdue tasks show which parts are late, and a workflow can alert the dispatcher when the stage changes.
Can the customer pay up front for a special-order part?
Yes. Bill the part as its own deposit invoice once the estimate is approved; the customer pays it by card through Stripe or PayPal from the payment link. A second invoice for labor and the balance follows the return visit.
What happens to calls when every technician is inside someone's kitchen?
On the Full Service plan a voice agent answers, asks for the appliance, the brand and the symptom and can transfer urgent calls to a person. Each call is recorded, transcribed and summarized on the customer's record.
