What goes wrong, and what we do about it
Tax season compresses a year of client contact into a few months. The same clients come back every winter, each with a shoebox of receipts, a half-filled organizer and one wage statement still in the mail. The return itself is rarely the bottleneck: the missing brokerage statement is, and the signature that has not come back, and the phone that rings all day with the same question about the refund.
The problem
A return sits half done for weeks because one brokerage statement never arrived.
In Kompot.ai
Each return is a job with a stage you define, and the documents still missing are a checklist task with subtasks. Move the job to waiting on documents and a workflow messages the client by SMS or email and sets a follow-up task, so the chase does not depend on anyone's memory.
The problem
The phone rings all day in March with clients asking whether their return has been filed.
In Kompot.ai
The return's stage is on the client's record, so whoever picks up can answer without interrupting the preparer. A workflow can also message the client when the job moves to ready for signature and again when it moves to filed, which removes the reason for most of those calls.
The problem
Last year's clients hear nothing until they call, and some quietly go to the office down the street.
In Kompot.ai
Your client list carries over from season to season with last year's notes and documents. Before the season opens, send an email campaign to the segment of returning clients with the document checklist and the link to your booking page for a drop-off appointment.
The problem
Engagement letters are signed on paper at the desk, and remote clients mail them back late.
In Kompot.ai
Keep the engagement letter and your office's consent forms as document templates with merge fields. Send them by email, link or QR code, collect both spouses' signatures when the return is joint, and store the signed PDF with its audit trail on the client.
The problem
The return is finished and delivered, and the preparation fee is still unpaid in May.
In Kompot.ai
Create the invoice from your price list of return types and schedules when the job reaches ready for signature, and send the payment link with it. The client pays by card through the link, the invoice shows what is paid and what is still open, and overdue invoices are flagged before the deadline rush hides them.
How one order runs
From document drop-off to a filed return and a paid fee
The client books in
A returning client picks a slot on your booking page, or a new one calls and becomes a contact. Filing status, dependents and last year's notes sit in custom fields.
Documents are collected
A job is opened for the return, with a checklist task for the documents. Wage statements and other forms the client sends are saved as files, and reminders cover what is missing.
Preparation and review
The job moves across the board from preparation to review. Questions for the client go out by SMS or email, and the answers land in their history.
Signature, payment, filed
The engagement letter is signed electronically and the invoice is paid through the link. You move the job to filed once you have submitted the return in your tax software.

Where an AI employee steps in for Tax Preparers
The moment
A client calls on a Sunday in April to ask whether their return has been filed yet.
The voice agent answers and takes the caller's name and question; the recording, transcript and summary are saved on their record. A workflow creates a task for the preparer, so the client hears back on Monday morning instead of reaching voicemail.
The moment
A client sends a photo of a wage statement on WhatsApp and asks what else you need from them.
The AI employee looks up the open checklist items for the client's return and lists what is still missing. It creates a task for the preparer to save the new document, and passes any question about deductions or amounts to a person.
The moment
A new prospect asks through Facebook Messenger what you charge for a return with rental income.
The AI employee answers from your knowledge base and fee list, asks which states and income types are involved, saves the answers on a new contact and sends the link to your booking page. An unusual situation it hands over to you.
Questions owners ask
- Does Kompot.ai prepare or e-file tax returns?
- No. Returns are prepared and filed in your tax software. Kompot.ai runs the office around it: the client list, the status of each return, document chasing, appointments, signed engagement letters, invoices and payments.
- How do I see which returns are waiting on the client?
- Each return is a job with stages you define, shown on a board. Open the waiting-on-documents column and you have the list. The missing items are subtasks of the checklist task for that return, and every reminder sent to the client is in their history.
- Can clients pick their own time to drop off documents?
- Yes. Open the slots you want to offer for drop-offs and review meetings on your online booking page and put the link in the pre-season email and in saved replies. The appointment the client chooses appears on your calendar and in Google Calendar.
- Can I remind last year's clients before the season opens?
- Yes. Mark returning clients with a custom field and send that segment an email campaign with the document checklist and the booking link. For individual nudges, a scheduled workflow can send an SMS or create a call task for you.
