What goes wrong, and what we do about it

A managed service business lives on two clocks: the request that has to be answered right now and the agreement that renews once a year. Requests come by phone, email and messenger from whoever in the client's office has a broken laptop, while license terms, domain expiry dates and warranty end dates sit in a spreadsheet nobody opens. When the request is in one engineer's inbox and the renewal date in another's memory, you do unpaid work and miss paid work.

  • The problem

A user at a client's office reports a dead printer on WhatsApp, and the request stays in one engineer's phone.

    In Kompot.ai

Email, WhatsApp, Telegram, website chat and calls land in one conversation log per client. Turn the message into a job with a type, an assignee and a stage, so the request is visible on the board and does not depend on who happened to read it first.

  • The problem

A domain, a certificate or a license term expires, and the client finds out before you do.

    In Kompot.ai

Keep each expiry date as a date field on the client. A scheduled workflow creates a task for the account manager and emails the client ahead of the date, and the renewal goes out as an estimate, where you see whether they opened and approved it.

  • The problem

An engineer drives to a branch office without knowing what firewall or server sits in the rack.

    In Kompot.ai

Keep every site on the client's record: address, on-site contact, network notes and the device list as custom fields and attached files. The engineer opens the job on a phone, reads the site notes and earlier visits, and adds photos of the rack before leaving.

  • The problem

Monthly support plans are invoiced by hand, and one client is always forgotten.

    In Kompot.ai

Set the plan up as a subscription invoice that goes out every month with a payment link. Work outside the agreement — a new workstation setup, a cabling run — is quoted from your price list as an estimate and becomes its own invoice once the client approves it.

  • The problem

A server migration runs for weeks and the client keeps asking where things stand.

    In Kompot.ai

Put the migration in a project: tasks with owners and due dates, the on-site jobs and the invoices together. Share the project by link, and the client's office manager reads the cutover tasks and comments there instead of calling your engineers.

How one order runs

From the first site audit to a monthly support invoice

  1. A company asks for IT support

An office manager writes on WhatsApp that their in-house IT person is leaving. The message creates a contact, and you open an opportunity for a new support agreement in your pipeline.

  2. The site audit

Schedule the audit visit as a job with the office address. The engineer records servers, network gear, the number of users and the backup setup in the client's fields and attaches photos.

  3. Proposal and agreement

Send an estimate built from your price list: the support plan and the one-off cleanup work. Once it is approved, the service agreement goes out from a template for e-signature.

  4. Support and monthly billing

Requests become jobs on the board, and the plan is billed as a subscription invoice every month with a payment link. An unpaid month is flagged as overdue.

Where an AI employee steps in for IT Consultants & Managed Service Providers

  • The moment

A client's office calls after hours: nobody can log in to the file server.

The voice agent answers, asks which office it is and how many people are affected, and transfers the call to the on-call engineer when your instructions treat it as an outage. The recording, transcript and summary are saved on the client, and a workflow creates the task.

  • The moment

A user asks in Telegram whether their laptop replacement request is still open.

The AI employee looks up the client's jobs and tells them the stage and who is assigned. If the user adds new details, it creates a task for that engineer and says a person will follow up.

  • The moment

A prospect asks through the website chat whether you support offices with several branches.

The AI employee answers from your knowledge base, asks about the number of users, the sites and the current setup, saves it on a new contact and opens an opportunity for whoever runs your audits.

How digital employees work

Questions owners ask

Can it replace our help desk for support requests?
It covers the core: a request from email, a messenger or a call is saved in the client's history and becomes a job with a type, an assignee and stages you define. There are no response-time timers and no remote-access tools, so keep those where they are today.
How do I bill a monthly support plan and extra project work?
The plan goes out as a subscription invoice — weekly, monthly or yearly — with a card payment link through Stripe or PayPal. Project work and hardware are quoted as an estimate, and an approved estimate converts into an invoice.
Can I track license, domain and warranty expiry dates per client?
Yes. Add a date field to the client for each expiry you care about and attach the paperwork. A scheduled workflow creates a task and messages the client ahead of time, so the renewal is quoted before anything lapses.
Can an alert from our monitoring tool open a request?
A workflow can start from a webhook. If your monitoring tool can call a web address when a server goes offline, the workflow creates a task for the engineer on duty and notifies them. Kompot.ai does not monitor devices itself.
