What goes wrong, and what we do about it
A law practice wins or loses clients at intake. Someone calls after an accident, a summons or a business dispute, and the firm that calls back first usually gets the engagement. After that the work is deadlines: hearings, filings, limitation dates, documents the client still owes you. When intake lives in a notebook and deadlines live in one attorney's calendar, a missed call costs a client and a missed date costs far more.
The problem
A potential client calls during a hearing, leaves no voicemail and retains the next firm on the list.
In Kompot.ai
Every call to your number is recorded and logged, and an unknown number becomes a new contact. A workflow creates a callback task for the intake person, so the missed call sits on someone's list with a due time instead of in a phone's call log.
The problem
The consultation went well, but the engagement letter was never sent and the client drifted away.
In Kompot.ai
Keep each prospective client as an opportunity moving through stages: inquiry, consultation booked, consultation held, letter sent, retained. The engagement letter is a template with merge fields sent for e-signature, and you see who has signed and who has not.
The problem
A filing deadline sits in one attorney's personal calendar, and nobody else knows it is coming.
In Kompot.ai
Put each deadline on the matter as a task with a due date, an assignee and watchers, so the paralegal and the supervising attorney both see it. Hearings go on the shared calendar, which syncs with Google Calendar, and overdue tasks show per person.
The problem
The client promised the lease, the photos and the medical bills weeks ago, and the file is still incomplete.
In Kompot.ai
List the documents you need as a task with subtasks in the matter's project and send the request from a saved reply by email or WhatsApp. A workflow can repeat the reminder on a schedule, and what the client sends back is kept in the matter's files.
The problem
The retainer is invoiced by hand, paid in pieces, and nobody is sure what the client still owes.
In Kompot.ai
Issue the invoice from your list of fees and send a payment link the client pays by card. A payment received by transfer or at the office is recorded by your staff and the invoice shows what is still open; overdue invoices are flagged, and a business client on a monthly flat fee can be billed by subscription invoice.
How one order runs
From an intake call to a signed engagement and a paid retainer
Intake call or message
The call is recorded and saved to a new contact, or the inquiry arrives through website chat or email. Practice area, the other party and key dates go into custom fields.
Consultation
The person picks a free slot on your booking page, and the meeting appears on the attorney's calendar. Notes from the consultation stay on the contact.
Engagement letter and retainer
Send the engagement letter for e-signature with an audit trail, then the invoice for the retainer or flat fee with a payment link.
The matter is opened
Open a project for the matter: deadlines as tasks, hearings on the calendar, documents in files, and every invoice for that matter in one place.
What you keep on record

Where an AI employee steps in for Law Firms
The moment
Someone calls on a Saturday night because a family member has just been arrested.
The voice agent answers, takes the caller's name, what happened and where, gives no legal advice and transfers the call to the attorney on call. The recording, transcript and a summary sit on a new contact, ready for whoever picks the matter up.
The moment
A client asks on WhatsApp when their next appointment with the attorney is.
The AI employee looks up the meeting on the client's record and answers. Any question about the case itself it passes to a person: it creates a task for the responsible attorney and tells the client they will be contacted.
The moment
A visitor asks in the website chat whether you take landlord-tenant disputes and what a consultation costs.
The AI employee answers from your knowledge base about practice areas and consultation terms, notes the basics of the situation on a new contact, opens an opportunity and sends the link to your booking page.
Questions owners ask
- Can we send engagement letters and fee agreements for e-signature?
- Yes. Build the letter once as a template with merge fields for the client's name, the matter and the fee. Send it by email, link or QR code to one or several signers. The signed PDF and the audit trail stay on the client's record.
- How do we keep court dates and filing deadlines from slipping?
- Each deadline is a task on the matter with a due date, an assignee and watchers, and hearings are events on the shared calendar synced with Google Calendar. A workflow can notify the attorney ahead of the date. The dates are entered by your team: Kompot.ai does not calculate them from court rules.
- Who in the firm can see a client's matter?
- Permissions work per section of the system — contacts, invoices, documents, reports — not per matter. Intake staff can be kept out of invoices and reports, but a role that opens matters sees all of them. Calls, messages, documents and notes for a client are kept on that client's record rather than in personal inboxes.
- Can a client pay the retainer in installments?
- Yes. Issue each installment as its own invoice with its own card payment link, or keep one invoice and have your staff record every payment received by transfer or at the office — the invoice shows what is paid and what is still open. An invoice that passes its due date is flagged as overdue, and a workflow can send a reminder.
