What goes wrong, and what we do about it

Bookkeeping is the same month, over and over, for every client at once. The books cannot close until the bank statements, the receipts and the answers about a handful of mystery transactions arrive, and most of your month goes into asking for them. Meanwhile the fee was agreed for a shop with one account, and now there are three accounts and a second location.

  • The problem

Month-end arrives and you cannot tell whose books are closed and whose are waiting on statements.

    In Kompot.ai

A scheduled workflow creates the close tasks at the start of each month — statements received, accounts reconciled, questions answered, reports sent — each with an assignee and a due date. The task board shows where every client's close stands, and overdue steps stand out.

  • The problem

You ask the same client for the same credit card statement every month, by hand, three times over.

    In Kompot.ai

Write the request once as a saved reply and let a workflow send it by email, SMS or WhatsApp on a schedule. The client's answer arrives in their conversation history, and you save the statement to their files, where a colleague can find it.

  • The problem

Answers about unexplained transactions come back in a text thread and are lost by year-end.

    In Kompot.ai

Send the questions from the client's record and the replies stay there: email, SMS, WhatsApp and call recordings in one log. When the tax preparer asks in spring what that transfer was, the answer is on the client's page with a date.

  • The problem

The client added a second location and two bank accounts, and the monthly fee never changed.

    In Kompot.ai

Keep the agreed scope — accounts, entities, services — as custom fields on the client. When it grows, send an updated estimate from your price list; once it is approved, change the subscription invoice so the new fee bills every month.

  • The problem

A catch-up job on a year of neglected books drags on with no clear end and no clear invoice.

    In Kompot.ai

Run the cleanup as a project: tasks per month or per account, progress notes, and an estimate approved up front. Share the project link so the client sees what you still need from them, and bill every stage of the cleanup as a separate invoice.

How one order runs

From a discovery call to a routine monthly close

  1. Discovery call

A business owner books a call on your booking page. Entities, bank accounts, the ledger software they use and how far behind the books are go into custom fields.

  2. Proposal and engagement letter

Send the monthly fee and any catch-up work as an estimate. When it is approved, the engagement letter goes out for e-signature.

  3. Onboarding and catch-up

A project holds the onboarding tasks: access to gather, prior statements to collect, months to bring current. The client follows it by link.

  4. Monthly close and fee

Each month the close tasks appear, the document reminders go out, and the subscription invoice bills the fee with a payment link.

Where an AI employee steps in for Bookkeepers

  • The moment

A client sends a photo of a receipt on WhatsApp and asks whether you got last month's statements.

The AI employee looks up the client's open close tasks and tells them what has been received and what is still outstanding. It creates a task for the bookkeeper to file the receipt, and passes any question about how something should be recorded to a person.

  • The moment

A restaurant owner calls in the evening looking for someone to take over the books.

The voice agent answers, asks about the business, how many accounts it has and how far behind the books are, and saves the recording, transcript and summary on a new contact. A workflow notifies you to call back with a quote.

  • The moment

A client asks in Telegram why this month's invoice is higher than usual.

The AI employee finds the invoice on the client's record and explains which items are on it, such as the catch-up work approved in an estimate. If the client disputes the amount, it hands the conversation to you.

How digital employees work

Questions owners ask

Does Kompot.ai do the bookkeeping itself?
No. It does not categorize transactions, reconcile accounts or run payroll; that stays in your ledger software. Kompot.ai runs your practice: clients, monthly close tasks, document reminders, engagement letters and fee billing.
How do I set up a monthly close checklist for each client?
Describe the steps of your close once and let a scheduled workflow create them as tasks for that client at the start of every month, each with an assignee and a due date. You see all closes on the task board, and overdue steps are listed per person.
Can it bill my monthly bookkeeping fee automatically?
Yes. A subscription invoice bills the client weekly, monthly or yearly and carries a card payment link through Stripe or PayPal. Paid, partially paid and overdue invoices show on the client's record, and a workflow can remind a late payer.
Can clients send me receipts and statements through it?
Clients write to you the way they already do — email, SMS, WhatsApp, Telegram — and the messages arrive in one conversation history per client. You save the files to the client's record. There is no separate upload portal for clients.
