What goes wrong, and what we do about it

A notary's day is made of short appointments that arrive at short notice. A title company sends a loan signing for this evening, a family needs a power of attorney signed at the hospital, someone walks in with an affidavit and no ID. The signing takes minutes; the phone calls, the driving schedule, the printed packages and the invoices to signing services take the rest of the day — and unpaid signing fees pile up because nobody tracks them.

  • The problem

A caller wants a signing tonight while you are at a closing table and cannot pick up.

    In Kompot.ai

The call is logged and recorded on your Twilio, Telnyx or Vonage number, and an unknown caller becomes a new contact. A workflow creates a callback task right away; on the Full Service plan the voice agent can answer instead and take the address, the document and the time.

  • The problem

Signers show up without valid ID, or without the witness the document requires.

    In Kompot.ai

Keep your what-to-bring instructions as saved replies and in a public knowledge base category. A workflow sends the confirmation message when a signing is scheduled — ID requirements, witnesses, documents left unsigned — so the appointment does not end at the door.

  • The problem

Two mobile signings on opposite sides of town are booked into the same hour.

    In Kompot.ai

Each signing is a job with an address, a time window and an assignee, and it sits on the shared calendar synced with Google Calendar. You see the evening's appointments in order before you accept another one, and a second notary's jobs show beside yours.

  • The problem

The loan package, the confirmation and the lender's instructions are spread across a signing service's emails.

    In Kompot.ai

Attach the documents and the instruction sheet to the job as files and add notes: printing done, signed, scanbacks sent, package dropped for shipping. Stages you define show on the job board where each signing stands, from confirmed to paid.

  • The problem

Signing services pay weeks later, and you lose track of which invoices are still open.

    In Kompot.ai

Invoice each signing the same evening from your price list: notarial acts, travel, printing, after-hours. Title companies and signing services are contacts with all their invoices on one page, overdue ones are flagged, and a private client can pay by card through the link.

How one order runs

From a signing request to a paid notary fee

  1. The request comes in

A title company emails an order, or a private client calls or books a slot on your booking page. The contact is created and the conversation stays on its record.

  2. The signing is scheduled

Create a job with the document type, the address and the time window, and note the number of signers. The confirmation with ID requirements goes out by SMS or email.

  3. At the table

Open the job on your phone, check the instructions and files, add notes after the signing and move the job to the next stage.

  4. Invoice and payment

The invoice lists the notarial acts, travel and printing from your price list. A private client pays by card on the spot through the link; a signing service's invoice stays open until it is paid.

Where an AI employee steps in for Notaries

  • The moment

An escrow officer calls late in the afternoon needing a loan signing at a borrower's home tonight.

The voice agent answers while you are in another appointment, takes the address, the time and the type of package, and transfers the call to you if your instructions say so for same-day requests. The transcript and summary land on the contact, and a workflow adds the request to your tasks.

  • The moment

Someone asks in the website chat what to bring to get a power of attorney notarized.

The AI employee answers from your knowledge base: acceptable ID, that the document must stay unsigned until the appointment, whether witnesses are needed. It does not explain what the document means legally. It saves the contact and sends your booking page link.

  • The moment

A client messages on WhatsApp asking to move tomorrow's home signing to the evening.

The AI employee finds the job on the client's record, confirms the current time and address, creates a task for you to reschedule and tells the client you will confirm the new time yourself.

How digital employees work

Questions owners ask

Can I notarize documents with Kompot.ai's e-signature?
No. The e-signature in Kompot.ai is for your own paperwork, such as a service agreement or a fee acknowledgment, and keeps an audit trail. It is not a notarial act or a remote notarization platform. You perform notarizations and keep your journal the way your state requires.
Does it work for a mobile notary who is on the road all day?
Yes. Kompot.ai opens in your phone's browser. You see the day's signings with addresses and time windows, read the instructions, attach files and notes, and send the invoice before you leave the driveway.
Can clients book an appointment at my office themselves?
Yes. Put the link to your online booking page on your website and in your messages. A client chooses an open slot for an office visit, and it shows up on your calendar and in Google Calendar. Mobile signings are better entered as jobs, because they need an address and a time window.
How do I keep track of what title companies and signing services owe me?
Each company is a contact, and every invoice you send it is listed on its page as paid, partially paid or overdue. An invoice that passes its due date is flagged, and a workflow can send the company a reminder.
