What goes wrong, and what we do about it
An accounting firm lives by the calendar. Year-end closes, financial statements and tax season land on the same weeks for every client, and each engagement stalls until the client sends the trial balance, the bank confirmations or the signed letter. In busy season nobody has time to dig through inboxes to find out who was asked for what — and the invoice for finished work waits until the rush is over.
The problem
Half the engagements are stuck waiting on client documents, and nobody can say which half.
In Kompot.ai
Open each engagement as a job with a stage you define — letter sent, waiting on documents, in preparation, in review, delivered — and view them on a board or in a table. One look shows which files are held up by the client and which sit with a preparer or a reviewer.
The problem
The PBC list goes out by email, comes back in pieces, and nobody knows which items are still open.
In Kompot.ai
Keep the PBC list as tasks in the engagement's project and share the project with the client by link: they see what is outstanding and can comment on each item. Reminders go by email, SMS or WhatsApp from saved replies, and each one is logged in the client's history.
The problem
Fieldwork is due to start on Monday and the new client's engagement letter is still unsigned.
In Kompot.ai
Engagement letters are document templates with merge fields for the client, the service and the fee. Send one for e-signature to the owner and the controller together, see who has signed, and keep the PDF with its audit trail on the client's record.
The problem
Fiscal year-ends and extension dates differ by client and live in a spreadsheet only one manager updates.
In Kompot.ai
Store year-end, entity type and extension date as custom fields on the client. A scheduled workflow creates the kickoff task for the engagement team ahead of each date and sends the client the first document request, so the season starts from the calendar, not from memory.
The problem
The work is delivered in the rush, the invoice follows a month later, and the client disputes the extra scope.
In Kompot.ai
Quote the fee as an estimate from your list of services and get it approved before work starts; extra scope gets its own estimate. The approved estimate converts into an invoice with a payment link, and each stage of a long engagement is billed as its own invoice.
How one order runs
From a new client inquiry to a delivered engagement
Inquiry and fee quote
A referral calls or writes and becomes a contact with entity type and year-end on the record. You send the fee quote as an estimate and see when it is viewed and approved.
Engagement letter
The letter goes out from a template for e-signature. Once it is signed, a job is opened for the engagement with its type, the preparer and the reviewer.
Documents come in
The request list is a set of tasks the client can see by link. Files they send are saved on the engagement, and reminders continue while items are open.
Review, delivery, invoice
The job moves through preparation and review to delivered. The invoice is created from the approved estimate and paid by card through the link.

Where an AI employee steps in for Accounting Firms
The moment
A week before the deadline a client asks on WhatsApp which documents the firm is still waiting for.
The AI employee looks up the open request tasks on the client's engagement and lists what is outstanding. If the client asks an accounting question, it does not answer: it creates a task for the engagement manager and says the firm will reply.
The moment
A business owner calls after hours looking for a new accountant before year-end.
The voice agent answers, asks about the company, its entity type and the services it needs, and saves a summary with the recording and transcript on a new contact. A workflow then notifies the partner who handles new clients.
The moment
A client writes through the website chat asking for last month's invoice and whether it has been paid.
The AI employee finds the invoice on the client's record, tells them its status and sends the payment link if it is still open. Anything it is unsure about goes to your office manager as a task.
Questions owners ask
- Does Kompot.ai replace our tax and accounting software?
- No. It does not prepare returns, keep ledgers or run payroll; that work stays in the software you already use. Kompot.ai manages the practice around it: clients, engagement letters, document requests, deadlines, staff tasks and fee billing.
- How do we see where every engagement stands during busy season?
- Each engagement is a job with a stage you define, shown on a board and in a table. Every job has its assignees, and overdue tasks are listed per person, so a manager sees which preparer is overloaded and which files are waiting on clients.
- Can clients see which documents they still owe us?
- Yes. Share the engagement's project with the client by link. They see the request list as tasks and can comment on an item, and you mark it done when the document arrives. Reminders by email, SMS or WhatsApp are logged in the same client history.
- How do we agree the fee before work starts and bill it afterward?
- Send the fee as an estimate built from your service catalogue; you see whether the client approved or rejected it. The approved estimate becomes an invoice with a card payment link. Every stage of a long engagement gets an invoice of its own, and recurring services run as subscription invoices.
