E-signature for contracts: send documents for signature online

Prepare a contract from a template, send it to the customer and get it signed without printing or meeting. You see that it was opened and signed, and you can export it to PDF at any point.

What it does

A contract goes out as an attachment. The customer has to print it, sign it, scan it and send it back, and many put it off. Meanwhile you cannot start the work, or you start it without a signature. In Kompot.ai you build the document from a template, the merge fields fill in from the contact, and the customer signs from a link. Every document keeps an audit trail: opened, identity verified, signed or declined.

  • Templates with merge fields

Write a template once and reuse it. Merge fields in the text are filled from the contact, so the customer's details get into the document without copying and without typos from retyping.

  • Contracts, sign-offs, NDAs, addenda

Documents come in four types: a contract, a completion sign-off, an NDA and an addendum. The agreement itself, the sign-off when the work is accepted and later changes to the agreement are kept in the same place.

  • Email, link or QR code

Send the document by email, share a link wherever you talk to the customer, or show a QR code. With the QR code, a customer standing next to you opens the document on their own phone and signs it there.

  • Password and expiry date

Protect a document with an optional password and give the link an expiry date. After that date the link stops working, so an old offer cannot be signed when your terms have already changed.

  • Several signers

A document can have several signers, and each gets their own link. You see who has signed and who has not, instead of passing a single copy from person to person.

  • Audit trail and PDF export

Every document keeps an audit trail: opened, identity verified, signed, declined. You can export the document to PDF at any point, for your files or to send a copy.

How it works

  1. Prepare a template

Create a template for the document type you use, a contract or an NDA for example, and place merge fields where the customer's details go.

  2. Create the document

Start a document from the template for a specific contact. The merge fields fill in from that contact's record.

  3. Send it for signature

Add the signers and send the document by email, by link or as a QR code. Set a password or an expiry date for the link if you need them.

  4. Track it to the signature

The audit trail shows that the document was opened and signed. A signer can decline with a reason, and you can void the document or export it to PDF.

Good to know

  • Merge fields take their values from the contact. Details that are missing from the contact's record will not get into the document, so fill in the contact first.
  • Your proof is the audit trail: opened, identity verified, signed, declined. Ask your lawyer whether that is enough for a given type of document.
  • The password is optional. Without one, anyone who gets hold of the link can open the document, so set a password for sensitive papers.

Questions and answers

Can several people sign the same document?
Yes. You add several signers and each of them receives their own link. Every signer opens and signs the document separately, and the audit trail records each of those actions.
What happens if the customer does not want to sign?
A signer can decline and give a reason, and the decline is recorded in the audit trail, so you know what to change. You can also void a document yourself if it is no longer needed.
Can a customer sign in person, on the spot?
Yes. Show the document as a QR code. The customer scans it with their phone, opens the document and signs it there, so you need neither a printer nor paper copies.
How do I show later that a document was signed?
Each document keeps an audit trail with these events: opened, identity verified, signed, declined. You can also export the document to PDF at any point and keep the file.
