CRM for Yacht Charter Companies

Charter dates, deposits, skippers and guest lists in one system — from the first inquiry about a week in July to the check-in on the dock.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A charter is sold months before anyone steps aboard. An inquiry comes in winter, the deposit follows, the balance is due before the season, and somewhere in between you need a signed agreement, a skipper's license or a hired skipper, and a crew list with passport details. Every one of those has a deadline, and the week of the charter is the wrong time to find out which one was missed.

  • The problem

Inquiries for the same summer week arrive by email, WhatsApp and broker calls and get answered late.

    In Kompot.ai

Every channel lands in one conversation history per client, and each inquiry becomes an opportunity with the yacht, the dates and the party size noted on it. The pipeline board shows which inquiries have an offer out and which nobody has answered yet.

  • The problem

The deposit is paid, but the balance before the charter is forgotten until check-in.

    In Kompot.ai

Bill the deposit and the balance as two invoices, each with its own due date and payment link. The deposit is paid by card when the charter is confirmed, a late balance is flagged as overdue, and a workflow can message the client and raise a task for your booking manager.

  • The problem

The charter agreement comes back as a phone photo of a signed printout.

    In Kompot.ai

Send the charter agreement from a template with the yacht, dates and price merged in. The charterer and a co-signer sign by link on their own devices, the audit trail records who signed and when, and the PDF is stored on the client's record.

  • The problem

The crew list with passport details arrives in pieces across three different chats.

    In Kompot.ai

Ask for the list once and attach it to the client's record as a file, with the number of guests, arrival time and provisioning requests in fields. At check-in the base manager opens the record on a phone and has it all in front of them.

  • The problem

A bareboat client turns out to need a skipper, and nobody has booked one.

    In Kompot.ai

Keep the skipper's license details on the client together with a field for whether a skipper is requested. Each charter is a job with its dates, the yacht and the skipper named in it, visible on the shared calendar, and freelance skippers are contacts, so the request and their yes sit in one conversation.

How one order runs

From a charter inquiry to check-in on the dock

  1. An inquiry for a week

A message through the website chat, email or WhatsApp creates the client and an opportunity. You note the yacht, the week, the party size and whether they sail bareboat or with a skipper.

  2. Offer and deposit

Send the offer as an estimate with the charter fee, skipper, end cleaning and extras from your price list. Once it is approved, the deposit goes out as its own invoice and is paid through the link.

  3. Agreement and crew list

The charterer signs the charter agreement online. The crew list and the skipper's license are attached to the record, and the balance invoice is paid before its due date.

  4. Check-in and check-out

The base manager opens the job on a phone, walks the yacht with the guests, adds photos of the hull and equipment, and does the same again when the yacht is back.

Where an AI employee steps in for Yacht Charter Companies

  • The moment

A client in another time zone writes at night about a catamaran for a week in August.

The AI employee answers from your knowledge base about the fleet and what the fee includes, asks for the dates, party size and sailing experience, and opens an opportunity. It does not confirm that the yacht is free — your booking manager does.

  • The moment

A guest calls the base on the morning of check-in asking where to park and when boarding starts.

The voice agent answers from your instructions: where the base is, when boarding begins, what to bring. If the caller reports a delayed flight, the call summary is saved and a workflow notifies the base manager.

  • The moment

A charterer asks in Telegram how much is still to pay before the trip.

The AI employee looks up the invoices for the charter and replies with what has been paid, what is still open and the date it is due. Questions about changing the dates go to a person.

How digital employees work

Questions owners ask

Does it block a yacht's dates so two charters cannot overlap?
No. Kompot.ai is not a fleet booking calendar and does not check whether a yacht is free. Charters appear on the shared calendar as jobs or events, so your team sees what is booked, but confirming that a week is open stays with your booking manager.
Can I take a deposit online now and the balance later?
Yes, as two invoices. The deposit invoice has its own payment link and the client pays it by card; the balance is a second invoice with its own due date, flagged as overdue if it is late. A bank transfer you record yourself, and the invoice shows what is still open.
Can the charter agreement be signed by more than one person?
Yes. A document can have several signers, so the charterer, a co-skipper or your own representative each sign by link. You get an audit trail and a PDF, and the template fills in the yacht and the dates from the record.
How do brokers and agencies fit in?
Keep each broker as a partner contact and note on the opportunity who sent the inquiry. Their emails and calls are in one history, so you can see which charters came through which agency. Commission is something you record yourself — it is not calculated for you.
