CRM for Fishing Charters
Trips, deposits and weather calls in one system — so a blown-out Saturday turns into rebooked parties, not a string of unanswered texts.
Free forever for up to 3 users. Paid plans from $199 a month.
What goes wrong, and what we do about it
A charter captain's office is the boat, and the phone rings while you are running to the grounds with clients aboard. Bookings stack up for the summer run and the tournament weekends, deposits come in by a dozen different routes, and then the forecast turns and a whole day of trips has to be moved. Whoever is left without a call back books the next boat down the dock.
The problem
The phone rings while you are offshore, and by evening the party has booked another boat.
In Kompot.ai
A missed call or a text from an unknown number becomes a new contact with the message in its history. On the Full Service plan the voice agent answers instead of voicemail, takes the date, party size and trip type, and leaves you a summary to confirm back at the dock.
The problem
A small-craft advisory is posted for the weekend, and every booked party has to be told and moved.
In Kompot.ai
Trips are jobs on the calendar, so you see who is booked on the day. Each party gets a saved reply by SMS or WhatsApp offering new dates, you move the job when they answer, and the deposit they paid stays on their record.
The problem
Deposits arrive by bank transfer, check and cash, and nobody is sure who has paid.
In Kompot.ai
Send every booking a deposit invoice with a payment link, and bill the balance as a second invoice. A deposit handed over in cash you record on the invoice yourself, and on the morning of the trip the mate sees on a phone who still owes what.
The problem
At the dock it turns out half the party has no fishing license.
In Kompot.ai
Keep a field on the client for whether licenses are covered by the boat or needed by each angler, and send a saved reply with the instructions when the trip is confirmed. A scheduled workflow can repeat the reminder shortly before the trip.
The problem
Last summer's parties never hear from you when the season opens again.
In Kompot.ai
Every past party is a contact with its trips on the record. Mark what they fished for — inshore, offshore, a particular run — and send an email campaign to that segment when the bite starts, with a link to your booking page.
How one order runs
From a trip inquiry to a paid day on the water
The party asks about a date
A call, a text or a website chat message is saved under the client. You note the date, the number of anglers, half day or full day, and what they want to catch.
The deposit holds the trip
Send a deposit invoice with a payment link. Once it is paid, the trip is added to the calendar as a job with the captain and mate assigned.
The weather call
The evening before, you confirm the trip or call it off. A saved reply goes to the party with the meeting time and the dock, or with new dates if the forecast is bad.
The trip and the balance
After the trip the balance goes out as a second invoice and is paid through its link. Photos of the catch go on the job, and the party is on your list for next season's first message.
What you keep on record
- The party
- Lead angler, party size, kids aboard, experience and what they like to fish for, as fields on the client.
- Trips and deposits
- Each trip as a job with its date, boat and captain, and the deposit and balance invoices showing what is paid.
- Licenses and permits
- Expiry dates of the captain's license and the boat's permits as date fields on the captain's contact, with a scheduled reminder before renewal.
- Trip price list
- Half-day, full-day, offshore and night trips, the extra angler fee, fish cleaning and bait.

Where an AI employee steps in for Fishing Charters
The moment
A caller wants a full-day offshore trip for six while the captain is at the helm.
The voice agent answers, asks for the date, party size and trip length, explains from your instructions what the price includes and says the captain will confirm the date tonight. The transcript and summary are saved, and a workflow creates a task.
The moment
A booked client texts the night before asking if the trip is still on with that wind forecast.
The AI employee finds the client's trip and replies the way you told it to answer weather questions: the captain makes the call that evening and will message every party. It notifies the captain that the client has asked.
The moment
Someone asks on Facebook Messenger what is biting and whether kids can come along.
The AI employee answers from your knowledge base about seasons, age limits and what to bring, asks for a preferred date and party size, creates the contact and opens an opportunity for you to confirm the trip.
Questions owners ask
- Can clients book a trip online by themselves?
- Yes, with limits you should know. On the online booking page a client picks a free time slot, which suits half-day and full-day trips on one boat. The booking lands as a meeting on the captain's calendar with an email confirmation. The page takes no deposit and does not hand out seats, so shared trips are better confirmed by you.
- What happens to the deposit when I cancel a trip for weather?
- The deposit invoice the party paid stays on their record. When they pick a new date you move the job, and the deposit still counts toward the trip. If the money goes back instead, you return it in Stripe or PayPal and note it on the record.
- Will it answer the phone while I am on the water?
- On the Full Service plan, yes. The voice agent answers at any hour following your instructions, takes the trip details and can transfer an urgent call to a person ashore. Each call is recorded and transcribed, and a summary waits for you at the dock.
- I run one boat with a mate. Is this too much system for me?
- You can start small: the Free plan holds your client list and your deals, and the rest comes with the paid plans. Everything opens in a phone's browser right at the dock, with nothing to install.
