What goes wrong, and what we do about it
A boat yard lives by the calendar. Spring launch crams every owner into the same few weeks, fall brings the winterization list, and in between a boat sits on stands while a part is on back order and its owner is out of town. The job grows once the engine cover is off, and if nobody gets the extra work approved in writing, the argument starts at the invoice.
The problem
An owner calls about an overheating outboard and nobody recalls what engine is on the boat.
In Kompot.ai
The owner's record holds the boat as custom fields — make, model, length, hull identification number, engine model and serial, engine hours at the last service. Past work orders, photos and call recordings sit on the same page, so the mechanic reads the history before the boat arrives.
The problem
The winterization list is rebuilt from last year's invoices every fall.
In Kompot.ai
Mark winterization and spring commissioning customers with a field on the contact. Before the season a scheduled workflow messages them and creates a task to book each boat, and an email campaign goes to that segment in one go.
The problem
The travel lift is double-booked because haul-outs are written on a whiteboard.
In Kompot.ai
Each haul-out, launch and bottom job is a job with a type, a time window and an assignee. They show on the shared calendar and on a board by stage, so the yard manager sees what is already on the lift that day before promising a time.
The problem
Rot under the transom turns up mid-job, and the extra work is agreed in a phone call.
In Kompot.ai
Send the additional work as an estimate from your price list, with photos attached to the job. You see when the owner opened it and when they approved it, and the approved estimate becomes an invoice — the consent is on record, not in someone's memory.
The problem
A boat sits on stands waiting for a part and the owner keeps calling for news.
In Kompot.ai
Give the job board a stage for boats waiting on parts and add a note when the supplier confirms a date. A workflow can message the owner when the job changes stage, and whoever picks up the phone sees the latest note on the record.
How one order runs
From a haul-out request to a paid yard invoice
The owner gets in touch
A call, an email or a WhatsApp message lands in the owner's history. You note the symptoms, check the engine hours on file and open an opportunity for the repair.
Estimate and authorization
Build the estimate from your labor rates and parts price list and send it. The owner approves it online and signs the work authorization as an e-signed document.
Haul-out and the work
Schedule the lift as a job with a time window and assign the mechanic. Photos are added as the hull and engine are opened up, and anything found beyond the plan goes out as a second estimate.
Launch, invoice, payment
The approved estimates convert into the invoice. The owner pays by card through the payment link before the boat goes back in the water, and the payment stays on their page.

Where an AI employee steps in for Boat Repair Shops
The moment
An owner calls on a Sunday evening: the bilge pump at the dock runs without stopping.
The voice agent answers, takes the boat's name, where it is berthed and what the owner sees, and transfers the call to your on-call mechanic if the boat is taking on water. The recording and a summary are on the owner's record when the shop opens.
The moment
An owner asks in WhatsApp whether the lower unit job is finished.
The AI employee looks up the job and tells the owner which stage it is in. If the owner asks about the launch date, it creates a task for the yard manager and says the shop will confirm the day.
The moment
A new customer writes in the website chat asking what winterizing a cruiser costs.
The AI employee asks for the boat's length, the engine type and how many there are, and where the boat spends the winter. It saves the answers on a new contact and opens an opportunity for your service writer to price.
Questions owners ask
- Can I keep several boats and engines for one owner?
- Yes, as custom fields on the owner's record: hull make and length, hull identification number, engine model, serial number and hours. For a second boat, add a second set of fields or keep each boat's work in a project of its own.
- How do I remind owners about winterization and spring launch?
- Keep a field for the seasonal services each owner buys from you. A scheduled workflow messages those owners before the season and creates booking tasks for the office, and an email campaign can go to the same segment.
- Does it count the parts in my stockroom?
- No. Kompot.ai keeps your price list of parts and labor for estimates and invoices, but it does not count what is on the shelf. Parts on order are best noted on the job, with a board stage for boats waiting on a delivery.
- Can an owner who is away follow a long refit?
- Yes. Put the refit in a project with its tasks, jobs and invoices and share the project by link. The owner sees the tasks and progress notes and can comment, and each extra reaches them as an estimate to approve.
