Inquiries with reference photos, consultations, deposits and signed consent forms on one client record — for every artist in the studio, with each session of a large piece in order.
Free forever for up to 3 users. Paid plans from $199 a month.
What goes wrong, and what we do about it
A tattoo starts as a late-night message with a handful of reference photos and ends weeks later with a healed check — and most of what goes wrong happens in between. Deposits are promised and not paid, a no-show leaves an artist with an empty day, the consent form is a paper sheet in a drawer, and the client with a half-finished sleeve is never asked back for the next session.
The problem
A client books a full-day session, pays no deposit and does not show up.
In Kompot.ai
Send the deposit as an invoice with a payment link as soon as the date is agreed, and move the opportunity to booked only when it is paid. On the day of the session the rest of the price goes on a second invoice, with the deposit already taken off.
The problem
Ideas, reference photos and placement notes are spread across each artist's own messenger.
In Kompot.ai
Whatever the client sends through WhatsApp, Telegram, Facebook Messenger or the website chat is kept in one conversation log on their record, reference photos included. Placement, size and style go into custom fields, so the artist reads the whole idea before drawing the sketch.
The problem
Paper consent forms pile up in a drawer and cannot be found when you need one.
In Kompot.ai
Put the consent form in documents as a template and show its QR code at the front desk. The client reads and signs on their own phone before the session, and the signed PDF with its audit trail is stored on their record.
The problem
A sleeve takes several sessions, and the next one is never booked before the client leaves.
In Kompot.ai
Run a large piece as a project: each session is a job with its artist and time window on the calendar. Notes and photos of the progress stay on the project, and an open task for the next session shows who still has unfinished work.
The problem
Clients message about peeling and itching, and touch-ups are forgotten once the tattoo heals.
In Kompot.ai
A workflow sends your aftercare instructions as a message when the session job is marked done, and the same text lives in a public knowledge base category. A scheduled follow-up then creates a task to invite the client for a healed check and a touch-up.
How one order runs
From a reference photo to a healed tattoo
The idea arrives
A message with reference photos becomes a contact. The style, placement and size are saved on it, and the inquiry goes to the artist who works in that style.
Consultation and deposit
The client picks a consultation slot on the booking page. After the design is agreed, the deposit invoice is paid by link and the session goes on the artist's calendar.
Consent and the session
On the day the client signs the consent form by QR code. The session is a job for the artist, with the sketch and photos of the finished work attached.
Payment and aftercare
The balance is paid on a second invoice, the aftercare instructions go out by message, and a follow-up task brings the client back for a healed check.

Where an AI employee steps in for Tattoo Studios
The moment
Someone sends a reference photo at night and asks what a forearm piece would cost.
The AI employee explains from the knowledge base how you price, asks about size, placement, color and whether it covers an old tattoo, saves the answers on a new contact and offers the link to book a consultation.
The moment
A client writes a few days after the session asking how to wash and moisturize the tattoo.
The AI employee replies with your aftercare instructions from the knowledge base. If the client describes swelling or anything those instructions do not cover, it does not guess: it passes the conversation to the artist and tells the client a person will answer.
The moment
The phone rings mid-session while every artist has gloves on.
The voice agent answers, explains the opening hours and how booking and deposits work, takes the caller's idea and number, and saves the recording, transcript and summary. A workflow notifies the studio manager to call back.
Questions owners ask
- Can clients sign the consent form on their phone?
- Yes. The form is a document template: the client opens it by QR code or link and signs before the session. You keep a PDF with an audit trail on the client's record. The wording of the form and what your local rules require stay your responsibility.
- How do deposits for a booked session work?
- Issue the deposit as its own invoice with a payment link, and the client pays it by card through Stripe or PayPal. On the day you invoice the rest of the price separately. Your deposit policy can be part of the document the client signs.
- Does every artist get their own calendar and clients?
- Sessions are jobs assigned to an artist and shown on the shared calendar, which syncs with Google Calendar. The client list is shared across the studio: roles and permissions work by section, so an artist can be shut out of invoices or reports, but not out of another artist's clients.
- Can clients book a consultation without messaging back and forth?
- Yes. The online booking page shows free consultation slots, and the client picks one. For the tattoo session itself most studios confirm the date by hand after the design and the deposit, and that stays your decision.
