What goes wrong, and what we do about it
A photographer's week is split between the camera and the inbox. Inquiries arrive while you are shooting, the editing queue grows after every busy weekend, and autumn family sessions all want their galleries before the holiday cards go to print. When bookings sit in direct messages and contracts in your email, a retainer goes unpaid, a gallery ships late and last year's families never hear that mini-session dates are open.
The problem
An inquiry about a newborn session sits unanswered while you are on a shoot.
In Kompot.ai
Messages from email, WhatsApp, Telegram, Facebook Messenger and your website chat land in one conversation log, and an unknown sender becomes a new contact. A saved reply with your session guide goes out between setups, and the lead waits in your pipeline instead of your memory.
The problem
The client says yes, but the contract and the retainer take a week of back-and-forth.
In Kompot.ai
Send the session contract from a template that fills in the client's name, the date and the session type, and they sign on their phone. The retainer goes out as its own invoice with a payment link, and the balance is a second invoice due by the session day.
The problem
Mini-session day fills up by message, and two families end up in the same slot.
In Kompot.ai
Put the slots on your online booking page and send one link. Each family picks a free time, the session lands on your calendar and syncs with Google Calendar, and nobody has to be moved on the morning of the shoot.
The problem
Several shoots are waiting for edits and you cannot say which gallery was promised first.
In Kompot.ai
Each shoot is a job with stages you define — booked, shot, culling, editing, gallery sent, prints ordered. The board shows what is in the queue, and a task with a due date holds the delivery date you promised each client.
The problem
Last year's families hear that autumn dates are open only after the calendar is full.
In Kompot.ai
Keep the session type and the children's birthdays as custom fields on the client. An email campaign to past family clients announces the autumn dates, and a scheduled workflow reminds you ahead of a baby's first birthday that a milestone session is due.
How one order runs
From a session inquiry to a delivered gallery
The inquiry arrives
A message or a call lands on the client's record with the session type they asked about. You reply with your session guide and price list and open an opportunity.
Contract and retainer
The client signs the session contract online and pays the retainer through the payment link. The shoot goes on the calendar with its location and time.
Shoot and edit
The job moves from shot to culling to editing on your board. Notes about the looks the client asked for and the shot list stay on the job.
Gallery, balance, prints
You send the gallery link from the client's conversation, the balance is paid online, and a print or album order goes out as an estimate from your price list.
What you keep on record
- Session details
- Session type, location, date and who is in the frame — on the job, with the mood board and shot list attached as files.
- Contracts and releases
- The signed session contract and the model release, stored as documents with their audit trail on the client's record.
- Family and milestones
- Children's names and birthdays and the date of the last session, as custom fields on the client.
- Packages and prints
- Session packages, extra retouched images, prints and albums in your price list, ready for an estimate or an invoice.

Where an AI employee steps in for Photographers
The moment
Someone writes at night asking what a family session costs and what is included.
The AI employee answers from your session guide in the knowledge base and asks for the preferred dates, the number of people and the location. By morning a new contact with an opportunity is waiting for you, and all that is left is to confirm the date.
The moment
A client asks on WhatsApp when their gallery will be ready.
The AI employee looks up their job, sees it is in editing and tells them the delivery date you set. If they need a few images early for a deadline, it creates a task for you and says you will answer yourself.
The moment
You are in the middle of a shoot and a company calls about headshots for its team.
The voice agent answers, asks how many people, where and by when, and takes the caller's details. The call is recorded and transcribed, and a workflow creates a task for you to call back with a quote.
Questions owners ask
- Can clients sign my contract and pay the retainer online?
- Yes. The contract is sent from a template by email or link and signed online, with an audit trail and a PDF copy. The retainer is its own invoice with a payment link for card payment through Stripe or PayPal, and the balance goes out as a second invoice.
- Does Kompot.ai host and deliver client galleries?
- No — galleries stay in the gallery service you already use. Kompot.ai keeps the gallery link on the job, sends it to the client from their conversation, and shows whether the shoot is in culling, in editing or delivered.
- Can clients book a session themselves?
- Yes. The online booking page shows your free slots, the client picks one, and the session appears on your calendar, which syncs with Google Calendar. It suits mini sessions, headshot days and pre-session consultation calls.
- I work alone. Who answers inquiries while I am shooting?
- On the Full Service plan an AI employee replies in messengers and website chat from your session guide, and a voice agent answers calls. Both save the inquiry on the client's record and pass anything they are unsure about to you.
