What goes wrong, and what we do about it
A DJ sells dates, and a Saturday in wedding season can only be sold once. Inquiries arrive in bursts — after engagements, before prom, ahead of the holiday party season — and the client who hears back first usually books. Between the deposit and the event sits the part that goes wrong: a song list sent across several messages, a venue that allows load-in only at a certain hour, a name the MC must pronounce right.
The problem
Two clients ask about the same Saturday, and you hold the date for the one who never pays.
In Kompot.ai
Each inquiry is an opportunity with the event date on it, and the date goes on the shared calendar only when the contract is signed and the deposit invoice is paid through the payment link. Until then the stage on the board shows the date is merely offered.
The problem
The must-play list, the do-not-play list and the first dance song arrive in pieces.
In Kompot.ai
Share the event's project with the client by link: the planning tasks — song lists, announcements, the order of the night — are there to see and comment on. The final lists are attached to the event as a file, so the DJ reads them from one place the night before.
The problem
The DJ arrives and learns that load-in is through the kitchen and the music must stop early.
In Kompot.ai
The event is a job with the venue's address, the load-in and performance window and the DJ assigned. Notes hold the venue contact, the power supply, the sound cutoff and where to park, and the venue coordinator is saved as a contact you will meet again next season.
The problem
You run several DJs and MCs, and it is unclear who plays which event this weekend.
In Kompot.ai
Assign each event job to a DJ or an MC and see the weekend on the shared calendar, synced with Google Calendar. Each performer opens their events on a phone: time, address, client notes, song lists and the sound and lighting package that was sold.
The problem
The balance is due before the event, and you end up asking for it at the venue door.
In Kompot.ai
The deposit and the balance are separate invoices, so the amount still owed is always in view. A scheduled workflow sends the client a reminder ahead of the event date, and the balance invoice is flagged overdue if the day arrives unpaid.
How one order runs
From “are you free that night?” to the last song
The date inquiry
A message or a call becomes a contact with the event date, the type of event and the venue. You check the calendar and answer with your packages from a saved reply.
Contract and deposit hold the date
The client approves the estimate with the package and add-ons, signs the contract online and pays the deposit by link. The event goes on the calendar as booked.
Planning the night
Song lists, the order of the evening, names to announce and the venue's rules are collected in the event's project and attached to the job.
The event and the balance
The assigned DJ opens the job on a phone at the venue. The balance is paid on its own invoice, and the client's record is ready for their next party.

Where an AI employee steps in for DJs & Entertainment Services
The moment
An office manager asks on Facebook Messenger about a DJ for the company holiday party.
The AI employee asks for the date, the venue, the headcount and whether they need an MC and lighting, explains your packages from the knowledge base and opens an opportunity on a new contact. A person then confirms that the date is free.
The moment
You are mid-set on a Saturday night and a parent calls about a DJ for a graduation party.
The voice agent picks up, takes the date, the venue, the number of guests and the kind of music they want, and says you will call back. The recording, transcript and summary are saved on a new contact, and a workflow creates the call-back task.
The moment
A client messages in the week of the event asking whether you received their song list.
The AI employee looks up the event, confirms that the list is attached and says what time the DJ arrives at the venue. If the client wants to change the order of the night, it creates a task for the DJ and says the change will be confirmed.
Questions owners ask
- How do I hold a date with a contract and a deposit?
- Send the contract from a template and the client signs it online, by email or link, with an audit trail. The deposit is its own invoice, paid by card through its payment link, and the balance is billed on a second invoice. Mark the date as booked once the contract and the deposit are done.
- How do clients send their song requests?
- Share the event's project by link and the client comments on the planning tasks, or sends the lists by email, WhatsApp or Telegram — every message lands in their conversation log. Attach the final must-play and do-not-play lists to the event job.
- Can each of my DJs see their own events?
- Yes. Assign the event job to a DJ or an MC and it appears on the calendar with the venue address, times and notes. They open it in a phone's browser. Roles and permissions work by section, so a performer need not see invoices, reports or settings.
- Does it show whether a date is still free?
- Booked events are on the shared calendar, synced with Google Calendar, so you see at once whether a DJ is taken that night. Dates you have only quoted are opportunities in the pipeline, so an offered date and a booked one are not confused.
