What goes wrong, and what we do about it

A print shop runs on many small jobs with hard deadlines: five hundred business cards by Friday, banners for a trade show, menus before the weekend. Each one passes through a quote, artwork, a proof, the press and the counter, and each hand-off is a place to lose it — a quote nobody followed up, a proof approved by phone, a finished box sitting on the shelf unpaid. Then the customer asks for the same as last time, and nobody remembers the paper.

  • The problem

A customer wants the same flyers as last spring, and nobody remembers the stock or the finish.

    In Kompot.ai

Every past order stays on the customer's record as a job with its estimate, final artwork and notes on stock, size and finishing. For a reorder you open the last job, quote the same lines from your price list and print from the file that was approved.

  • The problem

A proof is approved over the phone, and the typo found after printing becomes your reprint.

    In Kompot.ai

Send the proof with an approval form from documents: the customer signs online, and the audit trail shows who approved which version and when. The signed PDF stays with the job, and the press does not start on a verbal yes.

  • The problem

Quotes for brochures go out all day, and nobody checks which ones were opened.

    In Kompot.ai

Build each quote as an estimate from your price list — quantity, stock, sides, finishing. You see whether the customer viewed it, approved it or rejected it, an approved one becomes an invoice, and a quiet one raises a follow-up task for the counter staff.

  • The problem

Finished orders sit on the pickup shelf because nobody told the customer.

    In Kompot.ai

Jobs move through your own stages — prepress, on press, finishing, ready for pickup. A workflow messages the customer the moment the job reaches ready for pickup, and the invoice with its payment link shows whether a balance is still open.

  • The problem

Artwork arrives by email, messenger and flash drive, and the press runs the wrong version.

    In Kompot.ai

Files sent by email, WhatsApp or Telegram land in the customer's conversation log, and the print-ready version is attached to the job itself. Prepress notes on bleed, color and fonts are written on the job, so the operator opens one file — the approved one.

How one order runs

From a quote request to a picked-up order

  1. The quote request

A request by email, chat or phone becomes a contact and an opportunity. You note the product, the quantity, the stock, the finishing and the date it is needed.

  2. Estimate and artwork

The customer approves the estimate and sends the artwork. Prepress checks the file, and the job ticket is created with its due date and the files attached.

  3. Proof and production

The customer signs the proof approval online. The job moves from prepress to press to finishing on the board, with an operator assigned at each stage.

  4. Pickup and payment

A message tells the customer the order is ready. They pay the invoice by card through the payment link, and the job closes with its specs kept for the next reorder.

Where an AI employee steps in for Print Shops

  • The moment

A customer messages on WhatsApp asking whether their wedding invitations are ready.

The AI employee looks up the job, sees it is in finishing and says when pickup is expected. If the order is already on the pickup shelf, it tells them your opening hours and whether the invoice still has a balance.

  • The moment

A restaurant owner asks in the website chat for a price on a new run of menus.

The AI employee asks for the size, the number of pages, the paper, lamination and the deadline, and writes them into a new contact with an opportunity attached. Your estimator then sends the exact quote from the price list.

  • The moment

The phone rings while the only person at the counter is serving a walk-in customer.

The voice agent answers, takes the product, the quantity and the deadline, and explains from your instructions which file formats you accept. The call is recorded and transcribed, and a workflow creates a task to send the quote.

How digital employees work

Questions owners ask

Can customers approve proofs in writing?
Yes. Send an approval form through documents and e-signature: the customer signs by email or link, and you get an audit trail and a PDF. Attach the proof file to the same job, and you have a record of what was approved before the press ran.
How do repeat orders of the same job work?
Open the customer's page and find the earlier job: its estimate, approved artwork and spec notes are there. Build the new estimate from the same price-list items, change the quantity, and create a new job with the old file attached.
Can we see what is on press and what is waiting for pickup?
Yes. Jobs sit on a board by the stages you define, such as prepress, on press, finishing and ready for pickup, and there is a table view as well. Each job shows its assignee, so the floor knows whose order it is.
Does it calculate prices by quantity and paper?
Estimates are built from your price list, so each product, quantity and finishing option you sell is an item with its price. Kompot.ai does not replace a print estimating calculator: it sends the quote, tracks the approval and turns it into an invoice.
