CRM for Graphic Designers

The brief, the quote, each round of revisions and the final hand-off on one client record — so “one more small change” is measured against the scope you both agreed.

What goes wrong, and what we do about it

Design work rarely fails at the design. It fails in the gaps around it: a brief given in a voice note, feedback split between email and a messenger, an extra round of revisions nobody priced, and final files sent before the last invoice was paid. With several clients at different stages at once, the logo that is waiting for approval and the brochure that is waiting for copy are easy to mix up.

  • The problem

The brief arrives as a voice note and a few screenshots, and the first concept misses.

    In Kompot.ai

Keep one brief per project as a note on the opportunity: audience, formats, deadline, what the client likes and what they cannot stand. Voice notes and reference images from WhatsApp or Telegram land in the same conversation log, so the brief and its sources sit side by side.

  • The problem

The client asks for one more small change after the agreed rounds are used up.

    In Kompot.ai

The quote lists what is included — concepts, rounds of revisions, formats — as lines from your price list, and the client approves it before you start. An extra round is one more line on a new estimate that the client approves, not an argument over what was promised.

  • The problem

Feedback on the layouts comes by email, messenger and a call, each contradicting the others.

    In Kompot.ai

Share the project with the client by link. Every round is a task they see and comment on, and calls are recorded and transcribed on their record. When comments conflict, you point to one thread instead of searching every inbox.

  • The problem

Final files go out, and the last invoice is then paid late or not at all.

    In Kompot.ai

Send the deposit as its own invoice and the balance as a second one, each with a payment link. A workflow that fires when the balance invoice is paid creates the hand-off task, so the source files and the print-ready PDF leave only after the money has arrived.

  • The problem

A client returns a year later for the logo in vector, and nobody knows which version was final.

    In Kompot.ai

Attach the approved files to the closed project and note the final version, the fonts and the color values on the client's record. Next time you open the contact and see every project, quote and file you have delivered to them.

How one order runs

From a design brief to the final file hand-off

  1. The brief is captured

An inquiry becomes a contact and an opportunity. You record the brief, the formats needed and the deadline, and attach the references the client sent.

  2. Quote and deposit

The quote goes out as an estimate with the concepts and revision rounds spelled out. When it is approved, the deposit goes out as its own invoice and is paid by link.

  3. Concepts and revisions

Each presentation and each round is a task in the project the client can open. Their comments stay under the task, and the stage on your board shows what awaits approval.

  4. Approval and hand-off

The client approves the final layout and pays the balance online. You send the source files and exports, and the rights-transfer document goes out for signature.

What you keep on record

Scope and revision rounds
The approved estimate showing concepts, included rounds and formats — the reference when extra changes are requested.
Brand assets
Final logo files, fonts, color values and the style guide attached to the client's record for the next job.
Services and rates
Logo, identity, layout per page, illustration, extra revision round and rush fee as items in your price list.

Where an AI employee steps in for Graphic Designers

  • The moment

A café owner writes at midnight asking how much a logo costs.

The AI employee explains your packages from the knowledge base, asks what the business does, where the logo will be used and when it is needed. A new contact and an opportunity are created with the makings of a brief already in them.

  • The moment

A client messages asking whether the business card files have gone to the printer.

The AI employee looks up the project, sees that the hand-off task is still open because the final invoice is unpaid, and tells the client what is outstanding. If they ask to release the files early, it passes the request to you.

  • The moment

You are deep in a layout and a new client calls to discuss packaging design.

The voice agent answers, asks what the product is, how many items are in the line and when it launches, and offers a call back. The transcript and summary are saved on a new contact, and a workflow creates a task for you.

How digital employees work

Questions owners ask

Can I limit revision rounds and charge for extra ones?
The limit lives in your estimate and your contract: list the included rounds as lines, and the client approves them. Kompot.ai keeps each round as a task, so you both see which one you are on, and an extra round goes out as a new estimate.
Can a client see progress without me sending status emails?
Yes. Share the project by link: the client sees the tasks — concepts, each round, final files — and comments on them. The layouts themselves go into the task as files or links, and the comments stay with the project.
I have monthly retainer clients. Can it bill them on a schedule?
Yes. A subscription invoice is issued weekly, monthly or yearly with a payment link. The retainer's requests can run as tasks in one project per client, so at the end of the month you see what was delivered for the fee.
Is it too much for a solo designer?
No. A solo designer can start on the Free plan with a client list and a pipeline of deals; the rest comes with the paid plans. It opens in a phone's browser, so you can look up a client or move a deal to the next stage away from your desk.
