What goes wrong, and what we do about it
Speech therapy follows the school year. September brings a wave of parents whose teacher or pediatrician said “have that looked at”, the afternoon slots after school fill first, and winter colds knock out a session every week. Summer empties the calendar, and not every family comes back in the fall. Most of the admin is conversation with parents — and it happens in the gaps between children.
The problem
In September inquiries from parents pile up across several chat apps.
In Kompot.ai
WhatsApp, Telegram, Messenger, email and calls feed one conversation history per family. Each inquiry is an opportunity with stages — new, evaluation booked, sessions started — so a parent who wrote on Sunday is not forgotten by Wednesday.
The problem
A child wakes up with a fever, the session is cancelled, and the makeup is never booked.
In Kompot.ai
When a session is cancelled, add a task on the family's record: makeup owed, with a due date. It stays on your task board until the makeup is on the calendar, and overdue ones show which families you still owe an hour.
The problem
Month-end means counting sessions per child from a paper planner.
In Kompot.ai
Invoice each family from your price list — evaluation, individual session, group session — and send it with a payment link. A fixed weekly slot can be billed as a subscription invoice every month, and unpaid invoices are flagged as overdue.
The problem
The consent form needs both parents, and one of them never comes to the office.
In Kompot.ai
Send the consent for services and your attendance policy as one document with several signers. Each parent signs from their own phone by link, and the signed PDF with the audit trail is stored on the family's record.
The problem
Families pause for the summer and nobody asks them back before the slots are gone.
In Kompot.ai
Mark paused families with a custom field. Before the school year starts, send that segment an email campaign with your booking page link, and a scheduled workflow creates a call task for each family that has not answered.
How one order runs
From a parent's first message to a paid month of sessions
A parent writes
The message creates a contact for the parent. You add the child's name, date of birth and school as custom fields and open an opportunity for the evaluation.
The evaluation is booked
The parent picks an evaluation slot on your booking page. The consent form goes to both parents for signature before the day.
Weekly sessions
The standing slot goes on the calendar. A workflow reminds the parent the day before, and a cancelled session becomes a makeup task.
Monthly invoice and payment
The month's sessions are invoiced from the price list. The parent pays by card from the payment link, and the payment is recorded on the family's page.
What you keep on record
- Child and parents
- The parent is the contact; the child's name, date of birth, school and teacher are custom fields.
- Session slot
- The standing day and time, and whether sessions are in the office, online or at the preschool.
- Signed parent forms
- Consent for services and the attendance policy, signed by one or both parents, as PDF documents.
- School and preschool contracts
- The school as a contact, the signed service agreement as a document, its tasks and invoices in a project.

Where an AI employee steps in for Speech Therapy Practices
The moment
A parent messages early in the morning: fever, we cannot come today.
The AI employee replies, creates a makeup task on the family's record and passes the cancellation to you. You learn about the free slot before the first child of the day arrives, without having picked up the phone.
The moment
A mother asks in the website chat whether you work with toddlers who are not talking yet.
The AI employee answers from your knowledge base which ages you see and how an evaluation is booked, saves a new contact and opens an opportunity. It does not assess the child — questions about development go to you.
The moment
A father asks on Telegram whether last month's invoice was paid.
The AI employee looks up the family's invoices, tells him which one is open and sends the payment link again. If he asks to change how sessions are billed, it hands the conversation to you.
Questions owners ask
- Can both parents sign the same consent form?
- Yes. A document can have several signers. Each parent receives a link, signs on their own device, and the finished document keeps an audit trail of who signed and when. It exports to PDF.
- Can I invoice a preschool separately from the families?
- Yes. Add the preschool as its own contact, keep the signed service agreement on it and send it a monthly invoice. A project groups that contract's tasks and invoices, apart from your private families.
- I travel between homes and preschools. Does it work without a laptop?
- Yes — a phone's browser is enough. Between visits you check the day's calendar, read a parent's last message, turn a cancelled session into a makeup task and send an invoice.
- Can parents choose the evaluation time themselves?
- Yes. The public booking page shows the slots you have opened for evaluations, and the parent picks one. It lands on your calendar, synced with Google Calendar, and you stop trading messages about dates.
