What goes wrong, and what we do about it

A dental office earns its living twice: on the hygiene schedule that brings every patient back like clockwork, and on the treatment found during those visits. Both leak quietly. A recall card goes unanswered, a crown is recommended and the patient “needs to think about it”, a chair sits empty on a Thursday afternoon. None of it looks like a problem until the schedule has holes in it.

  • The problem

The recall list is a printout, and overdue cleanings pile up unnoticed.

    In Kompot.ai

Keep the date the next hygiene visit is due as a field on the patient. A scheduled workflow texts or emails a reminder with your booking page link, and patients who stay silent turn into call tasks for the front desk, each with a due date.

  • The problem

A crown or implant plan is presented chairside and the patient never calls back.

    In Kompot.ai

Send the treatment plan as an estimate built from your fee schedule. You see when the patient opened it and whether they approved it, an approved plan converts into an invoice, and one left unanswered raises a follow-up task for the treatment coordinator.

  • The problem

The crown is back from the lab and nobody has called the patient for the seat appointment.

    In Kompot.ai

Track each lab case as a job with stages you define — sent to lab, received, patient scheduled, seated. The case carries the patient, the due date and photos, and a workflow notifies the front desk the moment it moves to received.

  • The problem

Implant and orthodontic cases are paid in installments tracked on a spreadsheet.

    In Kompot.ai

One invoice takes partial payments, so the patient's page shows what was paid and what is still open. Monthly orthodontic payments can go out as subscription invoices with a payment link, and overdue ones are flagged.

  • The problem

Consent forms are signed on paper at the front desk and scanned whenever there is time.

    In Kompot.ai

Consent and financial agreement templates fill in the patient's details through merge fields. The patient signs from a link or a QR code at the desk, a parent signs for a child, and the signed PDF is stored on the record with its audit trail.

How one order runs

From a new-patient exam to a paid treatment plan

  1. The new patient gets in touch

A call, a website chat message or a slot picked on your booking page creates the contact. The front desk sees the whole conversation from its first line.

  2. Exam is booked, forms are signed

The new-patient exam goes on the calendar under the dentist and the hygienist. Consent forms go out by link and come back signed before the patient sits down in the chair.

  3. The treatment plan goes out

Findings that need work become an estimate from your fee schedule. The patient reads it at home and approves it online, and the approved estimate becomes the invoice.

  4. Visits, payments, next recall

The front desk records each payment against the invoice as the case moves along, and the payment link charges whatever is still open. When the work is finished, the next hygiene date goes into the patient's field.

Where an AI employee steps in for Dental Practices

  • The moment

A patient calls on Saturday night with a broken tooth.

The voice agent answers, takes the name, a callback number and what happened, and transfers the call to the dentist on call when your instructions say the case cannot wait. The recording, transcript and summary are on the patient's record by Monday.

  • The moment

A patient writes on WhatsApp that they cannot make Tuesday's cleaning.

The AI employee finds the patient's record, creates a task for the front desk to rebook the hygiene visit and tells the patient the office will confirm a new time — so the opening is known while there is still time to fill it.

  • The moment

A visitor asks in the website chat whether you place implants and how a consultation works.

The AI employee answers from your knowledge base, asks what the person wants done, saves a new contact and opens an opportunity for the treatment coordinator. Questions about pain or treatment choices are passed to your team.

How digital employees work

Questions owners ask

Can I see which treatment plans were presented but never accepted?
Yes. Each plan sent as an estimate shows whether it was viewed, approved or rejected. Keep unaccepted plans as opportunities on a board, and the treatment coordinator sees who to call this week.
Can patients pay for a large case in installments?
Yes. The front desk records each installment against the invoice, which shows what is paid and what is still open; the payment link charges the remainder. For fixed monthly payments, such as orthodontics, use a subscription invoice billed monthly, each with a link for card payment.
Can recall reminders go out by text message?
Yes. A workflow can send the reminder by SMS, WhatsApp, Telegram or email. The patient's reply lands in the same conversation history, where the front desk picks it up and books the cleaning.
Can the hygienist and the front desk share one schedule?
Yes. Appointments sit on one shared calendar that each person opens on a computer or in a phone's browser, and it syncs with Google Calendar. Roles and permissions decide who can also see invoices and reports.
