CRM for Medical Practices

The front desk side of a practice in one system: who called, who is due for a visit, which forms are signed and which balances are still open.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A practice's week has a shape: phones jam on Monday morning, the schedule fills by noon, and the follow-ups a physician asked for at checkout slide to whenever the front desk has a minute. Flu season and back-to-school physicals double the calls without doubling the staff. What gets lost is rarely the patient in the exam room — it is the caller who hung up on hold and the annual visit nobody booked.

  • The problem

Monday morning the lines are full and new patients hang up on hold.

    In Kompot.ai

Calls through your connected number are recorded and saved on the patient's contact, and a caller you have never seen becomes a new contact. The front desk works through a list of names to call back instead of a voicemail box nobody has time to play.

  • The problem

The physician says “come back in the fall” and nobody books the visit.

    In Kompot.ai

Put the date the next visit is due in a field on the patient. A scheduled workflow messages them with a link to your booking page when the date comes close, and creates a task for the front desk if the visit is still not on the calendar.

  • The problem

New-patient paperwork is filled in on a clipboard while the exam room waits.

    In Kompot.ai

Turn your consent form and financial policy into document templates with merge fields. Send them by email or link before the visit, or show a QR code at the desk, and the signed PDF with its audit trail stays on the patient's record.

  • The problem

A colleague refers a patient, and nobody checks whether that patient ever booked.

    In Kompot.ai

Keep referring physicians as partner contacts and open an opportunity for each referral with stages you define: received, called, booked, seen. The board shows which referrals are stuck, and a “referred by” field on the patient tells you whom to thank.

  • The problem

Self-pay balances leave with the patient and the statement goes out weeks later.

    In Kompot.ai

Create the invoice from your price list at checkout and send it by text or email with a payment link. The patient pays by card through Stripe or PayPal, a part payment taken at the desk is recorded against the invoice, and anything overdue is flagged.

How one order runs

From a new-patient call to a paid visit

  1. The patient calls or books online

A call is recorded on the contact; a booking made on your public booking page takes a free slot on the practice calendar. Either way the front desk starts with a name and a number.

  2. Forms are signed before the visit

The consent form and financial policy go out by link. The patient signs on their own phone, and the front desk sees what is still unsigned before they arrive.

  3. The visit and what comes after

The appointment sits on the shared calendar for the physician and the desk. At checkout you set the date the next visit is due and add a task for anything promised — a call back, a referral letter.

  4. Invoice and payment

The visit is invoiced from the price list and sent with a payment link. The payment lands on the patient's page next to the calls, messages and signed forms.

What you keep on record

Recall dates
The date the next annual physical or follow-up is due, kept as a date field that workflows can act on.
Signed forms

Referring providers
Colleagues who send you patients, kept as partner contacts, with a “referred by” field on each patient.

Where an AI employee steps in for Medical Practices

  • The moment

A patient calls after hours to move tomorrow's appointment.

The voice agent answers, takes the name and which appointment they mean, and tells them the office will confirm a new time. The transcript and summary are saved on the contact, and a workflow puts a rebooking task in front of the desk before the doors open.

  • The moment

Someone asks in the website chat whether you take new patients and what to bring.

The AI employee answers from your knowledge base — hours, location, what to bring to a first visit — saves the person as a new contact and sends the link to your booking page. Anything about symptoms or medication it passes to your staff.

  • The moment

A patient writes on WhatsApp asking what they still owe for last month's visit.

The AI employee looks up the patient's invoices, replies with the open balance and the payment link, and hands the conversation to a person if the patient disputes the amount.

How digital employees work

Questions owners ask

Which part of a practice's work is Kompot.ai for?
The front desk and the business side: patient contacts, calls and messages in one history, the appointment calendar and online booking, recall reminders, forms for signature, invoices and online payment.
Can patients book an appointment themselves?
Yes. Your public booking page shows free time slots and the patient picks one. The appointment appears on the shared calendar, which syncs with Google Calendar for physicians who live in theirs.
Can we bring our existing patient list over?
Yes. Contacts import from CSV or Excel, and custom fields hold what your list already has, such as the date of the last visit. On the Business plan we migrate your data for you.
Is the voice agent part of every plan?
No. AI employees — the voice agent and the AI employee in messengers and website chat — are on the Full Service plan, where we also set the system up around your practice: your hours, your instructions for callers, and who a call is transferred to.
