CRM for Home Health Care Agencies

From a daughter's first call to a weekly invoice: who is asking about care, which caregiver is in which home today, and what the family has agreed to and paid.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

Home care starts with a deadline. A parent is coming home from the hospital on Monday, the family calls several agencies on Friday, and the one that answers and visits first gets the client. After that the work is a schedule that never sits still: a caregiver calls off before a morning shift, a family in another city wants to know how the week went, and the hours on last week's visit sheets still have to become an invoice.

  • The problem

A daughter calls on Friday about care starting Monday, and the callback comes too late.

    In Kompot.ai

The call is recorded and becomes a contact with an opportunity: inquiry, assessment booked, agreement signed, care started. A task with today's date puts the callback in front of the intake coordinator, and the board shows which families are still waiting for an assessment.

  • The problem

A caregiver calls off before a morning shift and the scheduler starts phoning around.

    In Kompot.ai

Every visit is a job with an assignee, a time window and the client's address, shown on the shared calendar. The scheduler sees who is free that morning, and past jobs on the client's page show which caregivers already know the house.

  • The problem

What a caregiver needs at the door lives in the last caregiver's head.

    In Kompot.ai

Keep the practical details as custom fields and notes on the client: the door code, where the key is, the dog's name, which entrance has no steps, who to phone first. The caregiver opens the visit on a phone and reads them before ringing the bell.

  • The problem

The family lives in another city and phones the office to ask how the week is going.

    In Kompot.ai

Create a project for the client and share it with the family by link. They see the tasks you have set up — a schedule change, a supply run, a ride to an appointment — and comment there, and every message they send is in one conversation history.

  • The problem

Weekly invoices are typed up from paper visit sheets, and the family pays by mailed check.

    In Kompot.ai

A fixed weekly schedule goes out as a subscription invoice billed weekly. The invoice is addressed to the family member who pays, with a payment link for card payment, and an overdue week is flagged before the next one is added to it.

How one order runs

From a family's first call to a paid week of care

  1. The family calls

The call is saved on a new contact for the family member, with the client added alongside. An opportunity is opened and a callback task is set for the same day.

  2. Assessment and service agreement

The in-home assessment goes on the calendar. The service agreement is filled from a template and signed online by the client and the family member who handles the bills.

  3. Visits are scheduled

Each visit is a job with a caregiver, a time window and the address. Caregivers open their jobs in a phone's browser, read the home details and add a note after the visit.

  4. The weekly invoice

The week of care is invoiced to the family member who pays, with a payment link. Payments and overdue weeks show on the client's page.

Where an AI employee steps in for Home Health Care Agencies

  • The moment

A son calls at night: his mother is back in the hospital, cancel tomorrow's visits.

The voice agent answers, takes the client's name and what has changed, and transfers to your on-call coordinator if the caller needs a person right away. The summary is on the client's record, and a workflow notifies the scheduler before the first shift.

  • The moment

A family member asks on WhatsApp who is coming on Thursday.

The AI employee looks up the client's jobs and answers with the caregiver's name and the time window. If the family wants a different caregiver or hour, it creates a task for the scheduler and says the office will confirm.

  • The moment

On a Sunday someone asks through the website chat how soon overnight care can start.

The AI employee asks where the client lives, which days and hours are needed and when care should begin, saves the answers on a new contact and opens an opportunity so the assessment can be booked first thing Monday.

How digital employees work

Questions owners ask

Can caregivers see their visits without coming to the office?
Yes. They open Kompot.ai in the browser of their own phone. A caregiver sees the jobs assigned to them with the time window and address, reads the home details and notes, and adds a note after the visit.
Can the invoice go to a daughter or son instead of the client?
Yes. Keep the family member who pays as their own contact and address the invoice to them. They receive a payment link, pay by card through Stripe or PayPal, and the payment is recorded against that week's invoice.
Can a regular weekly schedule be billed without retyping it?
Yes. Set it up as a subscription invoice billed weekly from your price list of care services. Extra visits in a given week are added as a separate invoice, and overdue invoices are flagged.
Who answers when a family calls in the middle of the night?
On the Full Service plan, the voice agent does, at any hour. It follows your instructions, transfers to the on-call coordinator when needed, and saves a recording, a transcript and a summary on the record.
