CRM for Swim Schools

Assessments, swim levels, small groups and term payments in one system — so a parent asking on the poolside gets an answer from the record, not from a teacher's memory.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A swim school sells places in small groups, term after term. Before each term the current swimmers have to be re-booked, the ones ready to move up need a place in a higher level, and the gaps go to new families after an assessment. Inquiries peak before summer, the phone rings while every teacher is in the water, and parents on the poolside want to know when their child moves up. Run from paper rosters, that is how places get sold twice and paid-up families get forgotten.

  • The problem

A new child is put straight into a group that turns out to be the wrong level.

    In Kompot.ai

New families pick an assessment slot on your online booking page. After the assessment the teacher saves the swim level on the child's record, and the opportunity moves from “assessed” to “place offered” with a group that fits.

  • The problem

Re-booking for the coming term is done with paper slips handed out on the poolside.

    In Kompot.ai

A scheduled workflow messages current families before the term ends, and the term invoice goes out with a payment link. A paid invoice confirms the place; for families who have not answered, the front desk gets a task to call.

  • The problem

A parent asks when their daughter moves up, and the teacher who knows is in the water.

    In Kompot.ai

The current level, the date of the last move and the teacher's notes on what is still missing — a push and glide, breathing to the side — are on the child's record. The front desk opens it on a phone and answers.

  • The problem

The pool closes for a morning, and every family in those lessons has to be told at once.

    In Kompot.ai

Lesson day, time and group are custom fields on the contact. Send an email campaign to the segment of families in the affected lessons, and answer the replies in WhatsApp or Messenger with a saved reply about make-up lessons.

  • The problem

Term fees arrive in pieces, and places are held for families who have not paid.

    In Kompot.ai

Each term booking is an invoice the parent pays by card through a link. A part paid at the desk or by transfer is recorded by your staff, the invoice shows what is still open, and overdue invoices are flagged. Families who pay monthly can be billed with a subscription invoice.

How one order runs

From a swim assessment to a paid term

  1. A parent gets in touch

A call, a website chat or a WhatsApp message creates a contact with the child's age and whether they have had lessons before.

  2. Assessment in the water

The parent books an assessment slot online. The teacher watches the child swim and saves the level on the record from a phone on the poolside.

  3. A place in a small group

You offer a group at that level on a day that suits, and send the term invoice with a payment link. Payment confirms the place.

  4. Re-booking before the term ends

A workflow messages the family before the last lesson. If the child has moved up, the offer is for the higher group, and the invoice follows.

Where an AI employee steps in for Swim Schools

  • The moment

A parent calls mid-afternoon, when every teacher is in the pool with a group.

The voice agent answers, explains how assessments and term bookings work from your instructions, and takes the child's age and swimming experience. The summary is saved on a new contact, and a workflow creates a task for the office to offer a slot.

  • The moment

A mother writes on WhatsApp: which group is my son in, and is this term paid?

The AI employee looks up the family's record and the term invoice and answers both questions. If she asks to change the lesson day, it creates a task for the front desk and tells her the school will confirm.

  • The moment

A family new to the area asks in website chat whether a preschooler can start lessons.

The AI employee answers from your knowledge base about starting ages and group sizes, creates a contact and an opportunity, and sends the link to book an assessment before a group is offered.

How digital employees work

Questions owners ask

Can I record each child's swim level and when they moved up?
Yes. Level and the date of the last move are custom fields on the child's record, and teachers add notes on the skills still to pass. Anyone at the desk can read them when a parent asks.
How does re-booking for a new term work?
A scheduled workflow messages current families before the term ends. You send the term invoice with a payment link, payment confirms the place, and unanswered families become call tasks for the front desk.
Can teachers update a swimmer's record from the poolside?
Yes. Kompot.ai works in a phone's browser. A teacher opens the child's record between lessons, changes the level and writes a note for the conversation with the parent later.
Can parents pay swim term fees online?
Yes. Each term invoice has a public payment link for card payment through Stripe or PayPal. The link charges whatever is still open on the invoice; a part paid at the desk is recorded by your staff. Monthly payers can be put on a subscription invoice.
