What goes wrong, and what we do about it

A driving school sells one course made of two very different parts: a classroom group that starts on a set date, and behind-the-wheel hours that each student books one at a time around an instructor and a car. Summer and school breaks fill the schedule with teenagers, and a parent is usually the one who signs and pays. Lose track of a permit expiry or a road test date, and a student who was nearly ready starts over somewhere else.

  • The problem

Students book drives by texting the instructor, and the office has no idea whose car is free.

    In Kompot.ai

Each instructor has a booking page with their weekly availability. A student picks a free slot, and the drive lands on that instructor's calendar as a meeting with the pick-up location. The office sees every instructor's day on the shared calendar instead of asking by text.

  • The problem

Nobody knows how many hours a student has driven without leafing through the instructor's paper log.

    In Kompot.ai

After every drive the instructor adds a note to the student's record: parking, lane changes or highway driving. Hours completed and hours remaining are custom fields the instructor updates from a phone after the lesson.

  • The problem

A learner permit expires or a road test date slips by, and the student finds out at the testing office.

    In Kompot.ai

The permit number, its expiry and the road test date are fields on the student. A scheduled workflow messages the student and the parent ahead of each date and creates a task for the office to check that the required hours are done.

  • The problem

The course fee is paid in installments, and nobody knows who still owes before the road test.

    In Kompot.ai

Bill each installment as its own invoice with a payment link, or record installments paid at the office against one course invoice. The overdue flag shows who is behind, so the office settles the balance before the school car is booked for the test.

  • The problem

A teenager's enrollment needs a parent's signature, and the paper contract takes weeks to come back.

    In Kompot.ai

The training contract is a template filled with the student's details and sent to both the student and the parent for e-signature — several signers are supported. The signed PDF with its audit trail sits on the student's record.

How one order runs

From enrollment to a passed road test

  1. A student enrolls

An inquiry from the website chat or a phone call becomes a contact with the student's age, permit status and the parent's details. The contract goes out for e-signature and the course invoice follows.

  2. Classroom theory

The theory group's sessions are events on the shared calendar. The group's start date is a field on the student, so a scheduled workflow reminds the group before the first session. Passing theory is marked on the record.

  3. Behind-the-wheel lessons

The student picks slots on the instructor's booking page. Each drive becomes a meeting on that instructor's calendar with the pick-up location, and afterwards the instructor adds a note and updates the hours driven.

  4. Road test and final payment

The test date is on the record and on the calendar, the reminder goes out ahead of it, and the remaining balance is paid through the invoice link before test day.

Where an AI employee steps in for Driving Schools

  • The moment

A parent calls in the evening asking what the teen driver course includes and when the next class starts.

The voice agent answers from your instructions: classroom sessions, behind-the-wheel hours, the next start date. It takes the teenager's age and permit status, saves the transcript and a summary on a new contact, and a workflow creates a task for the office to send the contract.

  • The moment

A student writes on WhatsApp that they cannot make tomorrow's drive and asks for another time.

The AI employee sends the link to the instructor's booking page from its instructions so the student can pick another free slot, and creates a task for the office so the instructor knows the old slot has opened up. The exchange stays in the student's conversation history.

  • The moment

A student messages the night before the road test asking what documents to bring.

The AI employee answers from your public knowledge base article on test day: permit, identification, where and when to meet the school car. It checks the test date on the student's record and passes anything it is unsure about to the office.

How digital employees work

Questions owners ask

Can students book their own behind-the-wheel lessons?
Yes. The online booking page shows free time slots and the student picks one. The lesson appears as a meeting on the instructor's calendar with the pick-up location, and the student gets an email confirmation with a calendar invitation and reminders before the drive.
How do we keep a record of each student's driving hours?
After each drive the instructor adds a note to the student's record on what was practiced. Hours completed and hours still required are custom fields on the student that the instructor updates from a phone.
Can a parent sign the contract and pay for a teenager?
Yes. The contract is sent for e-signature to several signers, so the student and the parent each sign from their own phone. Invoices go to the parent with a payment link; each installment can be an invoice of its own, and a payment made at the office is recorded by your staff.
Can instructors use it from the car?
Yes, on a phone, between two students. The instructor opens the browser, sees the day's drives with pick-up locations on the calendar, reads the notes from the student's earlier lessons, adds a new one and updates the hours driven before the next student gets in.
