What goes wrong, and what we do about it

In tutoring the client is two people: a teenager who needs to understand quadratic equations and a parent who wants to know the money is working. Demand follows the school year — quiet in summer, a rush after the first report cards and another before exams. In between, lessons are rescheduled by text, progress lives in the tutor's notebook, and last month's tuition is still unpaid when the next month begins.

  • The problem

A parent asks how the lessons are going and the tutor has nothing written down to show.

    In Kompot.ai

After each lesson the tutor adds a note to the student's record: topic covered, homework set, what still does not stick. A project for the student can be shared with the parent by link, so they see the homework tasks and can comment on them.

  • The problem

Lessons get moved by text message, and a student shows up at an hour the tutor gave away.

    In Kompot.ai

Every lesson is on the shared calendar under its tutor and syncs with Google Calendar. A parent who needs another time picks a free slot on your booking page, which emails the family a confirmation with a calendar invitation and reminders before the lesson.

  • The problem

Tuition is collected lesson by lesson, in cash and bank transfers nobody reconciles.

    In Kompot.ai

Bill regular students with a subscription invoice issued weekly or monthly, with a payment link the parent opens on a phone. Payments are recorded against the invoice, and an overdue one is flagged before the next lesson, not at the end of the semester.

  • The problem

Inquiries pour in each September and before finals, and the slow reply loses the student.

    In Kompot.ai

Messages from WhatsApp, Telegram, email and the website chat land in one conversation log, and an unknown number becomes a new contact. A saved reply with your subjects and rates goes out right away, with the link to book a trial lesson.

  • The problem

With several tutors you cannot tell who teaches which student, in what subject, on which day.

    In Kompot.ai

The student's record holds the grade, the subject, the assigned tutor and the exam date as custom fields. Roles and permissions keep tutors out of invoices and reports, while you see every lesson on the calendar and every unpaid tuition invoice.

How one order runs

From a parent's first message to a paid month

  1. A parent gets in touch

The message creates a contact for the parent, and you add the student with grade, subject and the exam they are preparing for. An opportunity tracks the family until the first paid lesson.

  2. The trial lesson is booked

The parent picks a free slot on your booking page. The trial lesson appears on the tutor's calendar and the family gets a reminder beforehand.

  3. Weekly lessons begin

You agree on a regular day and hour and put the lessons on the calendar. After each one the tutor writes a short note on the topic, the homework and how the student coped.

  4. Tuition is invoiced

A subscription invoice reaches the parent each month with a payment link. The payment is saved on the family's record, and an invoice left unpaid shows as overdue.

What you keep on record

Student and parent
The parent as the paying contact, with the student's name, grade, school and the parent's preferred messenger as custom fields.
Subjects and goals
Subject, current grade, target exam and its date — fields you can filter by when exam season comes.
Lesson notes
A note after every lesson on the student's record: topic, homework set, mock test results, with scanned worksheets attached as files.
Tuition and payments
Lesson rates per subject in the price list; each family's subscription invoices, payments and overdue amounts on their record.

Digital employees · Full Service plan

Where an AI employee steps in for Tutoring Businesses

  • The moment

A parent writes late in the evening asking whether you take ninth graders for chemistry.

The AI employee answers from your knowledge base, asks for the grade, the school program and the exam date, saves them on a new contact and sends the link to your booking page for a trial lesson.

  • The moment

A mother messages an hour before the lesson that her son is sick.

The AI employee finds the student's record, tells her the tutor will be informed and creates a task for the tutor to move the lesson. If she asks about your cancellation policy, it answers from the public knowledge base article.

  • The moment

A call comes in while every tutor is in the middle of a lesson.

The voice agent answers, asks which subject and grade the family needs and which afternoons the student is free, and saves the recording, transcript and summary. A workflow notifies you so you call back between lessons.

How digital employees work

Questions owners ask

Can one record hold both the parent who pays and the student who studies?
Yes. Keep the parent as the contact that receives invoices and reminders, and add the student's name, grade, subject and exam date as custom fields. Lesson notes, messages and payments for that family sit on the same page.
Can parents book a lesson time without calling me?
Yes. They choose a free slot on your public booking page and the lesson appears on the tutor's calendar, which syncs with Google Calendar. The booking page emails the family a confirmation and reminders before the lesson.
How do I bill families who pay by the month?
Set up a subscription invoice for the family, billed weekly or monthly. Each invoice has a payment link for card payment through Stripe or PayPal, a payment you take in cash is recorded against it, and late tuition is marked overdue.
How do I show parents what their child has covered?
Write a note on the student's record after each lesson and keep homework as tasks in a project for that student. Share the project with the parent by link: they see the tasks and can leave comments.
