CRM for Private Music Teachers

Your whole studio on your phone: who comes on which afternoon, what piece each student is working on, who is owed a make-up lesson and who has paid for the month.

Free forever for up to 3 users. Paid plans from $199 a month.

What goes wrong, and what we do about it

A private music studio is one teacher and a week cut into half-hour slots between the end of school and dinner. Every slot belongs to a family, so one cold or one school trip means a make-up lesson to squeeze in somewhere. Twice a year a recital turns teaching into event planning — pieces to choose, a program to print, a hall to find — while tuition reminders wait for a free evening that never comes.

  • The problem

A student cancels on the day, and the make-up lesson is promised but never scheduled.

    In Kompot.ai

Mark the missed lesson in a custom field on the student and send the family the link to your booking page, which offers the gaps left in your teaching week. The make-up time they pick goes straight onto your calendar.

  • The problem

At the start of every month you chase tuition by text instead of teaching.

    In Kompot.ai

A subscription invoice goes to each family monthly with a payment link, so the parent pays by card from a phone. You open the list of invoices, see which are overdue, and a scheduled workflow can send the reminder in your place.

  • The problem

You forget which étude you assigned last week until the student opens the book.

    In Kompot.ai

Add a note to the student's record as the lesson ends: the scale, the étude, the bars to practice slowly, the tempo you are aiming for. Before the next lesson you open the record on your phone and pick up exactly where you stopped.

  • The problem

Recital planning lives on sticky notes: who plays what, who needs an accompanist, who has not confirmed.

    In Kompot.ai

Make the recital a project with a task per student — piece chosen, memorized, played at the dress rehearsal. Keep the piece and its composer in fields on the student, and send every family the date, the hall address and the call time in one email campaign.

  • The problem

A parent asks about lessons while you are teaching, and by evening they have found another teacher.

    In Kompot.ai

Messages from WhatsApp, Telegram, email and your website chat collect in one history, and a new number becomes a contact. A saved reply with your instruments, the ages you teach and the trial lesson link goes out in the minute between two students.

How one order runs

From a trial lesson to a year of weekly lessons

  1. A family asks about lessons

The inquiry becomes a contact with the child's age, the instrument and whether there is a piano at home. You answer with a saved reply and a link to book a trial lesson.

  2. The trial lesson

The parent picks a slot on your booking page and it lands on your calendar. Afterwards you note the student's level and the method book you will start with.

  3. A fixed weekly slot

You agree on a day and time, put the weekly lessons on the calendar and send your studio policy for e-signature. The lesson day is a field on the student, so a scheduled workflow can message that day's families the evening before.

  4. Tuition for the month

The monthly subscription invoice arrives with its payment link, and the card payment is recorded for that family. Lessons still to be made up are noted in a field beside it.

Where an AI employee steps in for Private Music Teachers

  • The moment

A parent messages during your teaching hours asking if you take six-year-old beginners.

The AI employee answers from your instructions about ages and instruments, asks whether the family has an instrument at home, saves a new contact and sends the link to book a trial lesson. You read the conversation after your last student.

  • The moment

A mother texts in the morning that her daughter has a fever and will miss today's lesson.

The AI employee replies with your make-up rule from the knowledge base, sends the booking page link so she can choose another slot, and creates a task so you see the freed half hour before you start teaching.

  • The moment

The phone rings in the middle of a lesson and you cannot put the violin down.

The voice agent answers, asks about the student's age, instrument and experience, and says you will call back. The transcript and a summary are saved on a new contact, and a workflow sends you a notification to read once the lesson ends.

How digital employees work

Questions owners ask

I teach alone. Is this too much system for one teacher?
No. A solo teacher uses a small part of it: family contacts, the calendar, lesson notes, the booking page and monthly invoices, all opened in a phone's browser between lessons. You can start on the Free plan with your list of families and your trial-lesson inquiries as opportunities; the rest comes with the paid plans.
How do I keep track of make-up lessons?
Note each missed lesson in a field on the student's record. Send the family your booking page link; they choose one of your free slots and it appears on your calendar. Once the make-up lesson is taught, you clear the field.
Can tuition invoices go out every month without me writing them?
Yes. Set up a subscription invoice for each family once, with a line for the weekly lessons. It is issued every month with a link to pay by card, and you see which families have not paid yet. A recital fee or sheet music goes on a separate invoice.
Can it help me organize the spring recital?
Yes. Create a project for the recital with a task for each performer, keep the pieces in fields on the students, and email all families the date and hall details as a campaign. The dress rehearsal goes on your calendar like any lesson.
