What goes wrong, and what we do about it
A made-to-order kitchen takes weeks from the first call to the last adjusted door, and it changes hands many times: the measurer, the designer, the shop, the installers. A dimension written on a scrap of paper, a drawing approved by voice, a countertop changed after cutting has started — each one turns into a remake at your expense. Before the winter holidays everyone wants the kitchen installed in time, and the phone fills with one question: what stage is my order at?
The problem
Room dimensions from the site measure are a photo on the measurer's phone.
In Kompot.ai
The site measure is a job with the address, a time window and the measurer assigned. The dimension sheet and photos of the walls, pipes and sockets are attached to it, and the designer opens them from the client's record instead of asking for the picture.
The problem
A drawing is approved by voice, and after installation the client disputes it.
In Kompot.ai
Send the final drawings and specification as a document for e-signature. The client's signature and the audit trail show which version was approved, and any later change to fronts or hardware is signed as a change order.
The problem
The client calls every few days to ask what stage the kitchen is at.
In Kompot.ai
Run each order as a project with tasks for cutting, edge banding, assembly and finishing, and add progress notes. Share the project by link: the client watches the stages move and leaves comments there instead of calling the shop.
The problem
The deposit is paid, and the balance is remembered only after the installers have left.
In Kompot.ai
The deposit and the balance are two invoices, each with its own payment link for card payment. Before installation day you see whether the balance is still unpaid, and the completion sign-off is signed by QR code on site.
The problem
Estimates sent after the site measure go quiet for weeks.
In Kompot.ai
The estimate is built from your price list of materials, hardware and installation. You see whether the client opened it, a follow-up task keeps the designer on it, and the opportunity board shows which quotes are still undecided.
How one order runs
From a site measure to an installed kitchen
Inquiry and site measure
The client writes or calls, and an opportunity is opened. A job is created for the site measure with the address and time, and the measurer attaches dimensions and photos.
Design, estimate, approval
The designer prepares the drawings and an estimate. The client approves the estimate online and signs the drawings and the contract by link.
Deposit and production
The deposit invoice goes out and is paid by card through its link. A project is opened with tasks for each production stage, visible to the client by link.
Delivery, installation, balance
Delivery and installation are jobs for the fitters. On site the client signs the completion sign-off, and the balance is paid on a second invoice.

Where an AI employee steps in for Custom Furniture Makers
The moment
In the evening a visitor asks in the website chat what a corner kitchen would cost.
The AI employee asks about the room, the layout, the materials they like and the address, notes the replies on a new contact and starts an opportunity. It explains that the price follows the site measure and creates a task to schedule one.
The moment
A client messages on WhatsApp to ask which day the wardrobe will be delivered.
The AI employee looks up the client's project and the delivery job and answers with the current stage and the planned date. If no date is set yet, it passes the question to the manager.
The moment
After the workshop has closed a client phones: a door has started to sag since installation.
The voice agent takes the client's name, the item and what is wrong and asks for a photo by message. The summary is saved on the record, and a workflow creates a task so a fitter's visit is scheduled as a job.
Questions owners ask
- Can clients approve drawings and sign the contract remotely?
- Yes. Drawings, the contract and later change orders are sent by email or link and signed online. Each document keeps an audit trail and a PDF copy, so you can show which version of the kitchen the client approved.
- How are the deposit and the final payment handled?
- The deposit is its own invoice with a payment link, sent before production; the balance is a second invoice after installation. If the client pays part in cash or by bank transfer, you record it, and the invoice shows what is still owed and is flagged when overdue.
- Can the client follow production without calling the workshop?
- Yes. A project can be shared with the client by link. They see the tasks for cutting, assembly, finishing and installation as they are completed, read your progress notes and leave comments.
- Can measurers and installers use it on site?
- Yes. Everything opens in the browser on a phone. The measurer opens the job and attaches the dimension sheet and photos; the installer sees the address, the drawings and the time window and marks the installation done.
