What goes wrong, and what we do about it
A flower shop runs three businesses at once: daily orders that must reach a doorstep inside a window, weddings quoted months ahead and revised until the week before, and standing orders for lobbies and restaurants that repeat every week. Then Valentine's Day and Mother's Day hit, and a whole year's worth of mistakes can happen in two days: a wrong address, a missing card, a bride's change nobody wrote down.
The problem
The bride changes the bridesmaids' bouquets again, and the latest version is somewhere in a chat.
In Kompot.ai
Each revision goes out as an estimate — bouquets, boutonnieres, arch, centerpieces — and you see which version she viewed and approved. Her inspiration photos and her messages from every channel are on one record, so the designer works from the approved list.
The problem
A standing lobby arrangement is missed because the weekly order exists only in the owner's memory.
In Kompot.ai
A scheduled workflow creates the task to make and deliver each standing order on its day, with an assignee. The contract is billed as a subscription invoice, weekly or monthly, so the invoice does not depend on anyone's memory either.
The problem
The driver arrives outside the delivery window, or at the buyer's address instead of the recipient's.
In Kompot.ai
Every delivery is a job with the recipient's name, address, phone and time window, kept apart from the buyer's contact. The card message and notes such as a door code or a reception desk are in the job the driver opens on a phone.
The problem
A customer who ordered anniversary roses last year hears nothing from you this year.
In Kompot.ai
Save the occasion — an anniversary, a birthday — as a date field on the customer. A scheduled workflow sends a message ahead of the date offering to repeat the order, or creates a task for you if you prefer to call your regulars yourself.
The problem
In Mother's Day week the phone, the chat and the walk-ins all want an answer at once.
In Kompot.ai
Messages from the website chat, WhatsApp and SMS arrive in one place, with saved replies for delivery cut-offs and price ranges. Each order gets an invoice with a payment link, so taking a card payment does not tie up the person on the phone.
How one order runs
From a wedding inquiry to flowers on the tables
The couple gets in touch
An email or a chat message creates the contact and an opportunity. You note the wedding date, the venue and the color palette and attach their inspiration photos.
Design meeting and proposal
After the meeting you send the proposal as an estimate: personal flowers, ceremony pieces, reception tables. Changes go out as a revised estimate.
Approval and deposit
The couple approves online and signs the floral contract. The deposit then goes out as its own invoice and is paid by card through the link.
Delivery, setup and balance
The wedding day is a job with the venue address, the setup window and the team. Photos of the installed pieces go on the job, and the balance invoice is paid by link.

Where an AI employee steps in for Florists
The moment
A customer messages late in the evening: flowers are needed for a funeral tomorrow morning.
The AI employee asks for the time and place of the service, the kind of piece and a budget, answers from your knowledge base about what can be made by morning, creates the contact and a task due at opening, and tells the customer the shop will confirm first thing.
The moment
A recipient calls the shop asking who sent the bouquet and when it will arrive.
The voice agent follows your instructions: it does not give out the sender's details, takes the recipient's name and address and transfers the call to the shop during opening hours. The call summary is saved on the record.
The moment
A restaurant manager writes on WhatsApp to skip the weekly table flowers during a private event.
The AI employee finds the restaurant's standing order, confirms which week is meant and creates a task for the florist to skip that delivery. It tells the manager the shop will confirm how the invoice changes.
Questions owners ask
- Can I keep the buyer and the recipient as different people?
- Yes. The buyer is the customer who gets the invoice. The recipient's name, address, phone and delivery window go on the delivery job, and regular recipients can be saved as fields on the buyer's record for the next order.
- How are standing weekly orders handled?
- Billing runs as a subscription invoice, weekly or monthly. The work itself is raised by a scheduled workflow that creates a task for each delivery day. Flowers are chosen by your designer — the system does not track what is in the cooler.
- Can couples approve a wedding proposal online?
- Yes. The proposal is an estimate built from your price list. The couple opens it by link, and you see when it was viewed and whether it was approved or rejected. After approval you bill the deposit and the balance as two separate invoices.
- Will it help on Valentine's Day when nobody can pick up the phone?
- On the Full Service plan the voice agent answers calls and the AI employee answers chats, following your instructions on order cut-offs and delivery areas. They take the order details and create tasks; a person confirms what the shop can still make.
