What goes wrong, and what we do about it
A bar's slow nights are filled by planning: a birthday group in the back room, a company happy hour, trivia every Tuesday, a band on Friday, a brewery's tap takeover. The inquiries come as direct messages after midnight or as calls nobody hears over the music, and each needs an answer on minimum spend, deposit and date. December books up in the fall. Run from the owner's phone, that means double-booked areas, acts confirmed with a thumbs-up, and deposits nobody asked for.
The problem
A brewery rep promises glassware and a keg deal for a tap takeover, and nobody writes it down.
In Kompot.ai
The rep is a contact, and what was promised goes into a note on their record next to the emails and call recordings. A task with a due date reminds the manager to confirm the kegs and the glassware before the night, whoever happens to be on shift.
The problem
The back room is promised to a birthday group and to a company for the same night.
In Kompot.ai
Every confirmed party is a job with a date, a time window and the area in its notes, and it shows on the shared calendar. Whoever answers a new inquiry checks that night first, from a phone behind the bar if need be.
The problem
A band is booked with a thumbs-up in a chat, and the fee and set times are argued on the night.
In Kompot.ai
Bands, DJs and trivia hosts are contacts. The performance agreement — date, set times, fee, sound requirements — is a document template sent for e-signature, and the gig sits on the calendar with the signed PDF on the act's record.
The problem
A large group reserves an area against a minimum spend, pays no deposit, and half of it turns up.
In Kompot.ai
Send the host a deposit invoice with a payment link when you confirm the area. It is paid by card before the night, and whatever is left of the minimum spend goes on a second invoice afterwards.
The problem
The company that held its holiday party with you last year books elsewhere, because nobody asked.
In Kompot.ai
Past hosts stay as contacts with the month and type of their event in custom fields. A scheduled workflow creates a task in the fall to write to last year's holiday parties, and an email campaign goes to that segment before dates fill.
How one order runs
From a private party inquiry to a paid event night
A message after midnight
A direct message or a call about a birthday or a company night becomes a contact and an opportunity with the date and the size of the group.
The offer to the host
The manager sends an estimate with the area, the drinks package and the minimum spend from your price list, and sees when the host approves it.
Deposit and date
The host pays the deposit through the invoice link and signs the event terms online. The night goes on the shared calendar with the area marked.
The night and the final bill
The team gets tasks for the night — rope off the area, extra bartender, playlist. Afterwards the remaining amount is invoiced and paid by card.

Where an AI employee steps in for Bars
The moment
Someone messages after midnight asking to reserve the back room for a birthday.
The AI employee answers from your knowledge base — which areas you offer, how the minimum spend and deposit work — asks for the date and the size of the group, and saves a contact and an opportunity for the manager to confirm.
The moment
A caller rings on a packed Saturday night about a corporate event.
The voice agent picks up, explains the party options from your instructions, and takes the company name, the date and the headcount. The call is transcribed and summarized on the contact, and a workflow notifies the manager the following day.
The moment
A guest writes on Sunday afternoon that they left a jacket at the bar last night.
The AI employee follows your lost-and-found instructions: it asks for a description and where the guest was sitting, saves the message on a contact and creates a task for the manager. It does not say the jacket was found until a person checks.
Questions owners ask
- Can I take a deposit for a group reservation or a private party?
- Yes. The host gets a deposit invoice with a payment link and pays it by card through Stripe or PayPal. Whatever is left of the minimum spend after the night is billed on a second invoice.
- How do I keep bands, DJs and trivia hosts organized?
- Each act is a contact with its fee, set length and requirements. The gig goes on the shared calendar, the performance agreement is signed online from a template, and your messages with the act are in one history.
- Can bartenders and door staff see what is planned for tonight?
- Yes. Tonight's party is a job, and each person has tasks with a due time. The team opens them in a phone's browser, and a role can be kept out of contacts and invoices altogether.
- Will it answer inquiries that come in after last call?
- On the Full Service plan, yes. A voice agent answers calls at any hour following your instructions, and an AI employee replies in messengers and website chat, saves the inquiry as an opportunity and hands over to a person when it is not sure.
